Responsibilities

Reporting into the EMEA & APAC Facilities Manager, the Office Administrator will perform office administrative dutiesfor the Barcelona office and provide virtual administration to the EMEA offices (UK, The Netherlands, Norway, Finland, UAE):

  • Assists the EMEA and APAC Facilities Manager in projects in the EMEA region such as office moves, office refurbishments, procurement and finance tasks.
  • Works with EMEA leaders on various administration and coordination tasks.
  • Works closely with the Facilities team in the APAC region.
  • Serve as the office main point of contact across EMEA locations, with a primary base in Barcelona.
  • Coordinates with Landlord staff, vendors and internal stakeholders for daily office cleaning, maintenance work, equipment, supplies and events.
  • Assists with onboarding of new vendors and suppliers, reviews and helps to process invoices
  • Maintain safe and clean work environment by complying and promoting with procedures, rules, and regulations
  • Coordinates Community Services events, annual parties and social events locally and in EMEA.
  • Communicates with employees on office updates and events
  • Assist new employees with onboarding
  • Welcomes on-site visitors and traveling staff. Maintaining visitor trackers and access. Assists with booking of meeting rooms, travel arrangements, lunches and events for both Barcelona and virtually across EMEA offices
  • Manages employee access cards including activation and deactivation across European offices and maintain floor plans.
  • Maintains the general office equipment, including printer and orders, receives, and maintains office and break room supplies and coffee machine. Receives, sorts, and distributes mail; assists with outgoing mail and package shipments.
  • Answer incoming telephone calls and emails, determines purpose, actioning where relevant or forwarding to appropriate personnel or department.
  • And other duties as assigned.

Requirements

  • General office experience including Telephone Skills and computer skills including typing and Microsoft Office,
  • Have excellent verbal Communication and interpersonal skills
  • Be able to work independently, have strong attention to detail and be able to manage multiple tasks at a time
  • The ability to work with colleagues across countries and pro-actively solve problems

Additional Details

  • Visa Sponsorship: Employment eligibility to work with Quorum Software in Spain is required as the company will not pursue visa sponsorship for this position. The successful candidate will be required to ensure they maintain and renew any visas or permits that grant employment eligibility where applicable.
