About the Role :

We are seeking an experienced, highly organized, and proactive Executive Assistant to support our Chief Financial Officer (CFO), who also serves as Director of our Parent and Portfolio Companies. This role involves managing board and executive administrative tasks, project coordination, and financial operations, all with strict confidentiality. The ideal candidate is a self-starter, capable of managing multiple priorities in a dynamic environment.

Key Responsibilities :
  • Executive Support : Manage and maintain the CFO’s calendar, schedule meetings, appointments, and travel. Act as the main contact for internal and external communications, including law firms, accounting firms, government entities, financial institutions, and banks. Coordinate logistics for travel and events, prepare agendas, and prioritize tasks. Fluency in English and Spanish is required.
  • Human Resources & Employee Support : Assist with onboarding, relocation logistics, handle confidential employee information, and support financial reporting and document management.
  • CRM Management & Project Coordination : Support board meetings, prepare minutes, assist with strategic initiatives, manage deadlines, and coordinate tasks across departments. Serve as liaison between CFO and stakeholders, draft correspondence, and support corporate events.
  • Other Duties : Handle ad-hoc requests, organize meetings, and ensure timely task completion.
Qualifications :
  • Bachelor’s degree in administration, psychology, business, finance, or related field preferred.
  • Minimum 3 years’ experience as an executive assistant, preferably in finance or corporate settings.
  • Bilingual in English and Spanish, both spoken and written.
  • Proficiency in Microsoft Office, Google Workspace, and financial software.
  • Strong organizational, communication, and discretion skills. Problem-solving abilities and professionalism are essential.
