Logistics & Customer Service Support Specialist

Job Description

About the role: As a Logistics & Customer Service Support Specialist, you will be responsible for coordinating the end-to-end management of customer orders—from initial request through to shipment and export documentation—ensuring compliance with internal procedures and international trade regulations. This role requires close collaboration with customers, internal teams (Finance, Regulatory, Logistics), and external stakeholders to ensure timely and accurate order fulfillment, with special focus on complex international (non-EU) transactions.

Key Responsibilities:

  • Order Management: Review incoming order requests to identify new customers, initiate the ICL onboarding process, and collect Shipping & Logistics Instructions (SLI).
  • Order Management: For existing customers, verify account status, ensure Atradius or insurance coverage is valid, and confirm product registration status.
  • Offer & Approval Stage: Prepare and send the Proforma Invoice and SLI to the customer, and coordinate with Finance to confirm prepayment or Letter of Credit (L/C) conditions.
  • Purchase Order Processing: Submit Intercompany PO to the Netherlands following defined procedures, and coordinate with the NL and UK teams to monitor production status and shipping lead times.
  • Customer Communication: Maintain ongoing and proactive communication with the customer to provide updates on order status, production progress, and shipping timelines.
  • Export Documentation: Prepare export documentation according to the SLI, share draft documents with the customer for review and approval, and send final original documents upon confirmation.

About you: Education and Experience: High proficiency in English, strong understanding of international trade regulations and export procedures, experience with customs processes and compliance management, background in Supply Chain / Logistics operations, and proficiency in SAP or similar ERP systems.
