AAP Primadomus seeks an HR & Office Coordinator to support HR processes and office logistics in a dynamic international environment. HR & Office Coordinator (28 hours a week, indefinite contract)
AAP operates in several EU member states and continues to grow as an international European expert organization. The HR team is also developing internationally. In Spain, you have a sparring partner in the volunteer coordinator and in Almere, the Netherlands, you work closely with your other HR colleagues and when needed with Finance and other colleagues.
Your role
As HR & Office Coordinator, you will ensure that all HR administrative processes are accurate, timely, and well-organized. You are quite hands-on but also follow up and monitor ongoing projects. You’ll work closely with colleagues in Spain and the Netherlands, as well as with many external service providers and the relevant authorities. You will also support the Location Coordinator in AAP Primadomus with a variety of administrative and organizational tasks. You will be part of the dynamic, international HR team consisting of a Senior HR Advisor, the two volunteer coordinators, one in Almere and one in Spain, and the personnel and salary administrator. You report to the HR Teammanager in Almere.
Key Responsibilities
• Serve as first point of contact on all tasks, questions and topics related to human resources and office logistics and administration for AAP Spain;
• Serve as sparring partner for the management in AAP Spain and deliver quality advise on HR matters, in collaboration with HR Almere based on the Spanish (legal) context;
• Maintain and update HR administration and personnel files;
• Coordinate onboarding and offboarding processes, including contracts and formalities;
• Support management in illness registration and follow-up;
• Collect and prepare payroll data for external salary processing;
• Coordinate workplace safety procedures and legal compliance, including all the responsibilities towards Personal Protective Equipment;
• Perform financial administrative tasks (e.g., cash register, invoice registration) and serve as mediator between banks and other institutions and Almere Finance colleagues;
• Provide general office support and coordinate and support in organizing internal events;
• Offer the necessary administrative support to the location coordinator AAP Primadomus and monitor the development of overarching processes or improvement projects;
• Collect, organize, and make information available to internal and external stakeholders;
• Process data accurately and identify/report anomalies or bottlenecks;
• Contribute to improving workflows, HR work processes and administrative procedures.
Your profile
• You have a higher vocational working and thinking level and preferably a relevant HR training and/or Office Management education;
• Proven experience (minimum 3 years) in a similar administrative or HR role. Having worked in a non-profit organization is considered an advantage;
• Strong knowledge of HR compliance and development processes, payroll administration, and relevant laws/regulations;
• Excellent communication skills in Spanish (native) and very good written and oral skills in English;
• Proficient in MS Office (Outlook, Word, Excel);

Our offer

The job and the HR team are international and offer many opportunities for growth and professional development.
Your salary will be between Є1,318 and Є1,530 euros gross per month (based on 28 hours per week) and depends on relevant work experience, with the possibility of annual growth. In addition we offer:
• An indefinite contract with a probation period of two months;
• 30 calendar days holidays;
• A generous travel allowance and a personal study budget of 1,5% of your yearly gross salary;
• Possibilities for working from home in consultation with your manager.
