Descripción del empleo

Responsible for administration in the HR department, focusing on the Telefonica project, covering the entire employee life cycle—from processing new starter documents to amending contracts, issuing offer letters, producing starter packs, following up on references and right-to-work documents, and updating systems. Provide guidance to the services manager regarding HR policies and legal requirements. Report directly to the HR Manager.

This role emphasizes client support and processing activities; most of the time will be dedicated to providing information, managing data, and ensuring process and delivery efficiency.

This position is based at our Madrid office, with the possibility of working from home 1 or 2 days per week.

  1. Induction & Integration
  2. Enter new starter information into relevant systems
  3. Create personal files for all new starters, ensuring all documentation is complete
  4. Send probation reminder emails to line managers and escalate issues to HR Operations when necessary
  5. Manage the benefits system, including adding new starters and removing leavers
  1. Payroll Administration
  2. Collate and input payroll-related information monthly (e.g., new starters, leavers, tax forms, benefits, contract changes, sickness, maternity/paternity pay)
  3. Distribute pay slips each month
  4. Maintain and update HRIS and employee directory with employee changes
  1. Employee Administration
  2. Prepare offer letters and contracts for new starters as instructed by HRM
  3. Handle employee letters related to salary, bonuses, or benefits adjustments, updating systems accordingly
  4. Manage termination letters and calculate outstanding holiday and benefits for departing employees
  5. Draft ad hoc employee letters under HRM/HRRD guidance
  6. Coordinate occupational risk prevention and manage warnings and dismissals with the Local HR Director
  7. Review and approve performance reviews
  8. Ensure mandatory training and occupational risk prevention certificates are completed by project employees
  9. Coordinate with facilities and IT for equipment logistics for new hires and leavers
  10. Advise management on HR policies and legal requirements
Administrative / Self Development
  • Maintain employee and general files securely
  • Ensure HR-related information security
  • Update the intranet as directed by HRM/HRO
  • Manage occupational risk prevention documentation
  • Update benefits platform (Edenred) and manage orders
About You
  • Bachelor's degree in Human Resources or Labour Relations
  • Minimum 3 years experience as HR Administrator/Operations
  • Fluency in Spanish and English
  • Proactive attitude
  • Team player with good listening skills
