Job summary

Barcelona Wine Bar is seeking a friendly Guest Services Specialist and Administrative Assistant to enhance the guest experience and support our hospitality team. You will handle reservations, receipt requests, and guest inquiries by phone and email, ensuring timely, professional responses and smooth operation at the front of house.

Reporting to the Director of Hospitality, you will also assist the Office Team with administrative tasks, coordinate with other departments, and help create daily

Job Title: Guest Services Specialist and Administrative Assistant

Reports to: Director of Hospitality

Status: Regular, Part-Time, On-Site

JOB SUMMARY

The Guest Services Specialist & Administrative Assistant for Barcelona Wine Bar & Corsica Wine Bar will assist with our guest experience ensuring our guests get answers quickly when consulting on reservations, receipt requests, etc. You will be jump-starting our guests’ Barcelona and Corsica Wine Bar experience before they take a step into our restaurants! In addition to connecting with our guests, this role will also support our Leadership and Office Team with some administrative duties. This position will report to the Director of Hospitality.

RESPONSIBILITIES & DUTIES

• Ensure every guest interaction is handled with the highest possible quality via phone call or email communication.
• Provide knowledgeable answers to guest inquiries about reservations, availability, etc. in a professional and timely manner.
• Responsible for inbound and outbound guest comments and timely responses.
• Communicate with other departments and escalat issues as needed.
• Utilize our reservation system to book reservations for guests who call in to make reservations promptly.
• Process initial events inquires and triages the next step with the Events Team.
• Process receipt requests from our guests.
• Composition of daily recap emails to our restaurant management teams detailing voicemail messages, reservations unable to be taken directly, personal callbacks required, etc.
• Performs other administrative duties as required.

EDUCATION & EXPERIENCE

• At least 1 year of customer service experience.
• A high school diploma or equivalent is preferred.
• Hospitality experience is strongly preferred but not required.
