We are looking to hire a Group Operator to join our team! Reporting to the Senior Group Operations Manager, you’ll plan, prioritize, and coordinate tailored travel experiences for customized group packages all over Europe. This includes crafting itineraries, leading logistics, liaising with vendors, handling client communication, and ensuring smooth execution of tours. The position requires strong organizational skills, problem-solving abilities, and high attention to detail to deliver flawless group travel experiences while ensuring that given budgets are met. The right candidate will need to show confidence and strength to deal with multiple itineraries and projects at the same time.

What you’ll do:

  • Accurately process requests and confirmations of all group services while following company policies and procedures.
  • Be responsible for and carefully document all administrative aspects of group bookings: group correspondence, itinerary preparation and revision/changes, special requests, deposit, and final payment arrangements of supplier bookings.
  • Communicate and negotiate effectively with vendors from all over Europe, ranging from hotels, guides, coaching, tourist attractions, and any other services that the group requires.
  • Work within given budgets and make independent decisions to guarantee the profitability of groups while ensuring high-quality service.
  • Quality control of contracted suppliers, customer itinerary, and final documentation to clients.
  • Reconfirming services before travel.
  • Take ownership of tours while traveling to resolve problems satisfactorily to company standards (maybe on weekends or after normal working hours).
  • Maintain consistent communication (phone/email) with the US/Costa Rica-based team members by providing timely updates and raising itinerary issues early to ensure smooth coordination of travel operations.
  • Work alongside the accounting team in prioritizing prepayments and reconciling group invoices.
  • Work within the company's internal system (Softrip) to ensure suppliers and pricing is accurate.
  • Maintain ongoing communication with supervisor or manager about procedures and problems and offer suggestions for resolutions.
  • Travel Requirements: Travel may be required (if applicable, max.1–2 times per year) for site inspections or quality control of high-priority groups (as approved by the Group Director and Sr. Group Operations Manager).

Operational hours are:

Monday – Friday, 09:00 am – 6:00 pm OR 10:00 am – 7:00 pm (1 hour lunch).

The candidate will also be required to handle emergency phone calls in connection with the groups traveling out of regular office working hours (after hours/weekends) during the year.

What you’ll bring:

  • Proven experience in operations, trip execution, or a related travel industry role.
  • Undergraduate degree in travel, business administration, hospitality management, or a similar field, or equivalent experience (e.g. operations, trip execution, customer service).
  • Fluent level of both written and spoken English.
  • Additional languages such as French, German, Italian, and Spanish are an advantage.
  • Detail-oriented with superior organizational skills.
  • Skilled in handling multiple tasks, setting priorities efficiently, and excelling in time management.
  • Strong communication skills to be able to engage optimally and collaboratively with multiple nationalities.
  • Capability of handling high-pressure situations and resolving issues expertly.
  • Proficient in MS Office, including MS Excel, MS Word, and Outlook.
  • Experience with reservation systems designed for Tour Operators is an advantage.
  • Ability to use creative skills to suggest new service ideas.
  • Candidate should be able to show perseverance and great customer care when dealing with passengers.
  • Self-motivated, demonstrating the ability to work independently and as a great teammate.
  • Passionate about enriching lives through travel and providing great customer experience.
  • Good level of negotiation skills.
