Main Responsibilities

  1. Day-to-day management and maintenance of the lounge, including ensuring everything is in order (chairs, catalogs) to welcome clients, agents, collaborators, etc.
  2. Change and maintain the storefront advertised properties.
  3. Inventory control on marketing materials, company presents, office, and lounge supplies.
  4. Attend walk-in clients, handle inquiries, and represent the company’s values and level of service in all interactions. Provide excellent customer support and assistance.
  5. Collect customer data from walk-ins and perform data entry in the company’s CRM, then liaise with the responsible agent or manager for allocation.
  6. Address requests from clients, agents, and managers during lounge meetings.
  7. Handle mailing, packages, and delivery services.

Provide support and assistance to commercial, back office, and management teams:

  1. Request, file, and manage documentation as needed (e.g., Nota simple, printing, scanning).
  2. Support management requests.
  3. Manage CRM information (properties, accounts, etc.).
  4. Maintain and update client database with accurate information.
  5. Create property listings if needed, upload photos, floor plans, and documents in SF.
  6. Control physical and digital documentation.
  7. Update the status of sales properties in SF.
  8. Resize and upload listing photos, activate listings.

Marketing

  • Manage portal listings and social media.
  • Organize and support events.
  • Perform miscellaneous administrative tasks in collaboration with the administration team.

Desired Skills & Expertise

  • Experience in an administrative or customer service role within an international company.
  • Fluent in English and Spanish; additional languages are a plus.
  • Proactive, creative, motivated, and with a ‘can-do’ attitude.
  • Ability to work independently with minimal supervision.
  • Capable of handling a fast-paced, sometimes pressured environment.
  • Organized, efficient, and collaborative.
  • Excellent customer service and telephone manners.
  • Proficient with IT tools, Microsoft Office, and CRM systems.
