A multi-entity business firm in Ibiza is seeking a highly capable Financial Manager to lead financial, legal, and operational projects. This senior role involves ensuring cost efficiency, managing banking relationships, and overseeing multiple projects while relieving the CEO of day-to-day tasks. The ideal candidate will have extensive experience in financial management and operational leadership, with a proven ability to reduce costs and manage complexities in a multi-country setup.
About the Role
We are seeking a highly capable Financial Manager with COO-level authority to act as the control tower for all financial, legal, and operational projects within a growing, multi-entity business environment.
You’ll work directly with the CEO on strategic decisions while owning the day-to-day execution — coordinating lawyers, accountants, advisors, property managers, and internal project teams.
Your mission :
Reduce costs by ensuring high-cost advisors only work on high-value tasks. Free up the CEO’s time by taking ownership of all operational follow-up. Keep projects on track with clear dashboards, tight deadlines, and efficient coordination.
This is a senior role requiring both financial expertise and operational leadership.
Key Responsibilities
Financial Management & Cost Control Manage banking relationships and oversee cash flow, budgets, and forecasts across multiple entities. Prepare and package all documentation for accountants, lawyers, and banks — ensuring professionals only work on high-value tasks. Negotiate scope and fees with service providers to reduce unnecessary billable hours.
Legal & Compliance Coordination
Act as the single point of contact for all legal and accounting providers in multiple jurisdictions. Track all compliance and filing deadlines to ensure timely completion. Prepare decision-ready summaries for the CEO on legal and financial matters.
Project & Operations Management
Oversee multiple concurrent projects, ensuring all stakeholders deliver on time and within scope. Manage internal operations staff to ensure smooth day-to-day running of the business and household. Maintain a Master Dashboard to track the real-time status of all projects and responsibilities.
Communication & Reporting
Hold regular check-ins with the CEO to review priorities, risks, and deadlines. Provide monthly reports highlighting cost savings achieved. Prepare periodic investor updates in collaboration with the CEO.
What Success Looks Like (First 6–12 Months)
Significant reduction in professional service costs. CEO’s operational workload reduced substantially. All legal, compliance, and financial deadlines consistently met. Projects delivered on time and to standard.
Skills & Experience Required
10+ years in financial management, operations, or COO roles. Strong accounting and financial literacy — comfortable with P&L, cash flow, and multi-entity structures. Experience working with lawyers, accountants, and banks in multi-country setups. Proven track record of reducing professional fees without sacrificing quality. Excellent project management skills with the ability to run multiple complex projects simultaneously. Strong written & spoken English (Spanish and / or Danish an advantage). Proficient in Excel / Google Sheets, Notion, Asana, or ClickUp.
