An established industry player is seeking a Facilities Manager to oversee the comprehensive management of its headquarters. This role involves ensuring a safe and efficient working environment by managing both internal services and external vendor relationships. The ideal candidate will have a strong background in facilities management and will be responsible for budget control, service quality, and stakeholder communication. Formación

  • 5+ years of experience in facilities management, preferably in a multinational.
  • Advanced knowledge in facility management and maintenance.

The Facilities Manager (in Werfen Tower) will be responsible for the comprehensive management of the company's headquarters, where all global departments are located. His / her mission will be to ensure a safe, efficient, and functional working environment by managing both internal services and external vendor relationships. This role will be performed in a building owned by a third party and will also include managing the relationship with the landlord.

This role is going to report to the Facilities and Soft Services Manager.

Key Accountabilities

  • Oversee all building operations and soft services, such as cleaning, pest control, canteen, gardening, etc.
  • Hard services (HVAC, electricity, electric chargers, security systems, etc.) will be managed by the engineering and hard services area of the department.
  • Coordinate all movements, works, and workplace impact.
  • Coordinate with service suppliers to ensure they meet contractual obligations and provide efficient, quality services.

Landlord and Internal Stakeholder Relationship Management

  • Be the primary point of contact within the building, managing any issues, infrastructure maintenance, etc.
  • Manage the office and be the point of contact for incident resolution, event coordination, and fostering a positive environment.
  • Communicate with the landlord to coordinate all actions, operations, and services.

Budget and Cost Control

  • Execute the annual facility management budget, always seeking operational efficiency and resource optimization.
  • Create purchase orders for all services and corrective actions that arise in the office.

Services, Tasks, and Supplier Management

  • Oversee and coordinate office renovations, improvement projects, expansions, and services schedules.
  • Responsible for ensuring services comply with regulatory and quality requirements, such as ISO 14001, ISO 9001, ISO 27001, and other applicable standards.

Networking / Key Relationships

Facilities Department

  • Relationship with the rest of the team, including the Engineering and Hard Services area, Facilities and Soft Services area, Controlling, as well as the Head of Department.

Internal Stakeholders

  • Interaction with all company departments as well as C-Suite. All areas will be internal clients.

Landlord

  • Interaction and coordination with the landlord’s representative and their team.

Facility Services Suppliers

  • Collaboration with engineers, contractors, facility management & service companies, security, maintenance, and construction providers, as well as the internal maintenance team.

Minimum Knowledge & Experience Required for the Position

Educational Background

  • Bachelor's degree in Engineering, Architecture, Business Administration, Facilities Management, or a related field.

Professional Experience

  • Minimum of 5 years of experience in facilities management, preferably in a multinational or large-scale organization.
  • Experience managing leased properties, including working closely with landlords and managing lease contracts.
  • Experience managing both technical and non-technical services, such as maintenance, cleaning, security, and other building operations & services.

Technical Skills

  • Knowledge of facilities management software (CMMS, building management systems).
  • Familiarity with construction and renovation processes, including vendor selection and project management.

Communication and Negotiation Skills

  • Excellent communication skills, both written and verbal, for interacting with internal departments, suppliers, contractors, and landlords.

  • Spanish

Technical Skills

  • Advanced knowledge in facility management, preventive and corrective maintenance.
  • Knowledge of facilities management tools (CMMS, building management software).

Communication Skills

  • Strong interpersonal skills and the ability to interact effectively with the team, vendors, internal and external stakeholders, and the landlord.
  • Ability to present reports and analyses clearly to company management.
