We are currently seeking an experienced, proactive, and highly organized Personal Assistant to support the daily operations of our President and Founder, based between London and Barcelona.

Position Summary

The Personal Assistant will serve as a trusted right hand to the President and Founder of L-Acoustics, providing seamless support across professional and personal domains. This role demands a highly organized, discreet, and proactive individual who thrives in a dynamic environment and is committed to excellence and confidentiality.

Key Responsibilities

1. Project Coordination: Support the President in managing and tracking small-scale projects, ensuring timely execution, follow-up, and alignment with strategic priorities.
2. Research & Analysis: Conduct in-depth research on a variety of topics (business, technical, personal), synthesize findings, and present actionable insights.
3. Calendar & Schedule Management: Organize and optimize the President’s calendar across multiple time zones, balancing priorities and ensuring efficient time use.
4. Travel Planning: Coordinate complex travel arrangements, including flights, accommodations, ground transport, and detailed itineraries for both business and personal trips.
5. Meeting Preparation: Schedule meetings, prepare agendas and documents, and take notes when needed to ensure productive outcomes.
6. Stakeholder Liaison: Serve as a key point of contact between the President and internal/external stakeholders, ensuring smooth communication and timely follow-up.
7. Correspondence Management: Monitor and manage communications, draft responses, and handle inquiries with discretion and professionalism.
8. Event & Engagement Support: Assist in organizing professional and personal events, off-sites, and industry engagements.
9. Personal Assistance: Manage personal administrative tasks such as appointments, reservations, errands, and personal logistics.
10. Logistics & Office Support: Oversee logistical needs such as receiving deliveries, coordinating services, and ensuring smooth day-to-day operations.

Qualifications & Requirements

• Proven Experience: Minimum 5 years of experience as a Personal Assistant or in a similar support role, ideally in a fast-paced, international environment supporting a senior executive or entrepreneur.
• Organizational Excellence: Outstanding time management, multitasking, and prioritization skills with meticulous attention to detail.
• Discretion & Integrity: Demonstrated ability to handle sensitive and confidential information with the utmost professionalism.
• Language Proficiency: Excellent verbal and written communication skills in English; fluency in Spanish is required. French proficiency is a strong advantage.
• Tech-Savvy: High digital literacy, including proficiency with Microsoft Office Suite, Google Workspace, travel and calendar management tools, and productivity apps.
• Interpersonal Skills: Strong emotional intelligence, cultural sensitivity, and the ability to build trust-based relationships.
• Proactive Mindset: Anticipates needs, solves problems independently, and adapts quickly to changing priorities.
• Industry Familiarity: Experience or interest in music, audio, tech, or entertainment industries is a plus.
• Location Requirement: Must be based in or willing to relocate to Barcelona.
