We are looking for a highly organized and proactive Executive Assistant to support our CEO EMEA and provide administrative support to the EMEA team. You will be the key point of contact between executives, employees, clients, and external partners, ensuring smooth day-to-day operations.

Your responsibilities include managing calendars, coordinating travel, handling expenses, and supporting communication. To succeed, you should be detail-oriented, independent, and efficient. Your support will help drive executive focus and team productivity.

Key Responsibilities

  • Serve as the primary liaison between the CEO and internal/external stakeholders.
  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings across multiple time zones.
  • Organize travel arrangements and accommodation for the CEO and team members.
  • Track daily expenses and prepare accurate weekly, monthly, and quarterly reports.
  • Coordinate local payments and support basic financial tasks.
  • Maintain office supply inventory and act as office manager in Barcelona but also coordinating across Frankfurt, London, Dubai, and Barcelona offices.
  • Prepare and format internal and external communications such as memos, emails, presentations, and reports.
  • Screen and direct phone calls and manage correspondence efficiently.
  • Organize and maintain digital and physical filing systems.
  • Oversee administrative tasks such as bill payments and follow-ups.
  • Provide daily operational support to the EMEA team.
  • Prioritize and manage tasks efficiently, ensuring deadlines are met and urgent matters are handled promptly.
  • Coordinate logistics for corporate events, conferences, and executive meetings.
  • Set up and maintain a mobile office environment to support productivity while traveling.
  • Handle sensitive information with confidentiality, professionalism, and discretion at all times.

Required Skills & Qualifications

  • Fluent in English and Spanish, with excellent written and verbal communication skills.
  • Proven experience as an Executive Assistant or Personal Assistant supporting C-level executives in dynamic, fast-paced environments.
  • Willing to travel.
  • Highly organized with exceptional time-management and prioritization abilities.
  • Strong interpersonal and service-oriented mindset; skilled at receiving and working with diverse stakeholders.
  • Ability to set clear boundaries and manage competing demands professionally.
  • Proficient in Microsoft Office Suite and digital productivity tools.
  • Ability to adapt quickly to changing priorities, schedules, and travel arrangements.
  • Demonstrated discretion and ability to maintain strict confidentiality.
  • Experience working in international or high-pressure environments is a strong advantage.
