Within Mercedes-Benz Mobility, the MBM Operations & Credit Operations function manages financing and leasing businesses across European markets and at Hub Europe Madrid, leading transformation initiatives to enhance customer experience and efficiency. The Director for Operations Europe & Hub is based in Madrid at Mercedes-Benz Group Services Madrid, overseeing related teams.

The Role - The primary responsibility is to manage and coordinate the agenda of the Director MBM Operations Europe, including organizing meetings, events, travel, and preparing necessary documents and information for smooth operations.

Main Responsibilities

  • Organize and coordinate meetings and videoconferences with internal and external stakeholders, including other MB Group units.
  • Manage the Director's calendar proactively to optimize time and meeting schedules.
  • Follow up on issues related to the Operations Director's responsibilities.
  • Coordinate travel arrangements, including bookings, tickets, and itinerary management, and resolve any travel-related incidents.
  • Assist other Senior Managers with specific topics as needed.
  • Act as a facilitator for the Operations Director, supporting daily workload and staff relations.
  • Systematically file documents electronically.
  • Create reports, letters, emails, presentations, and perform various administrative tasks.
  • Manage expense reports and travel reimbursements.
  • Procure office supplies for the General Management.
  • Support Management Meetings and draft minutes.
  • Manage parking spaces and oversee their renovation.
  • Review and manage the Operations Director's emails and internal communications.
  • Handle purchasing and invoicing for goods and services for General Management and related departments, including monthly PRs.

Executive Business Support

  • Prepare the Director for meetings by gathering information, reviewing and updating presentations, and coordinating with stakeholders.
  • Develop and maintain PowerPoint presentations.

Internal Communication

  • Support internal communication efforts, including newsletters and staff events, acting as a backup in this area.
  • Assist in organizing internal events.
  • Coordinate CSR activities, including donations and 'day of caring', in collaboration with other departments.

Qualifications

Education: Higher Education Certificate in Business Administration or related field.

Languages: Fluent English required; Spanish and/or German skills are advantageous. Additional European languages are a plus.

Experience: Minimum 5 years in similar roles supporting management, preferably in the financial or automotive sectors.

Knowledge: MS Office, Microsoft Teams.

Personal Skills: Organized, proactive, detail-oriented, autonomous, adaptable, flexible, communicative, and discreet.
