What is the opportunity

We are seeking a dynamic Executive Assistant to join the Franklin Templeton IAS team in Madrid. This pivotal role involves supporting the regional strategic plan and providing essential administrative support to ensure smooth office operations. Collaborating closely with senior leadership across Iberia and Latin America, you will play a crucial role in driving the business forward, offering full support behind the scenes.

Responsibilities of an Executive Assistant
  1. Strategic Support: Assist in executing the regional strategic plan, work closely with Senior Leaders, understand the business landscape, contribute to high-level discussions, manage department budgets, document meeting minutes, and support internal/external communications.
  2. Diary & Travel Management: Manage team calendars, prepare for meetings, coordinate domestic and international travel, and handle expense reporting.
  3. Executive & Administrative Assistance: Provide top-tier administrative support including calendar management, meeting coordination, office supplies, email correspondence, and acting as liaison with internal and external contacts. Handle tasks like invoice processing, expense reports, HR requests, IT needs, legal document signings, and departmental event planning. Create professional documents and presentations.
  4. Office Operations & Support: Greet visitors, support office requirements, analyze data for projects, collaborate with business units, coordinate with building management, and oversee accounts payable processes.
Ideal Qualifications, Skills, and Experience
  1. Significant administrative experience supporting senior management.
  2. Degree in Business Administration or similar, or Administrative Certification preferred.
  3. Experience in finance or a corporate environment is highly desirable.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams) and SharePoint.
  5. Exceptional relationship-building and communication skills, both written and verbal.
  6. Strong organizational skills, attention to detail, and ability to prioritize multiple tasks.
  7. Discretion and trustworthiness in handling confidential information.
  8. Adaptability, resilience, problem-solving skills, and ability to work under pressure.
