MongoDB is seeking an Executive Assistant to support three VPs based remotely across Europe. This position is ideal for a dynamic, intelligent, highly-organized individual who takes ownership over the details and loves to get things done. In this role, your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips, and anticipating how your executives want these priorities to be handled. To succeed, you’ll have to balance the needs and requirements of multiple parties and be ready to pitch in wherever necessary. You should feel comfortable interacting with high-level executives and know how and when to manage up. You must thrive in a fast-paced environment.
This hybrid role requires office visits several times per month and quarterly travel to support executive planning and offsite management.
Responsibilities
- Think and plan ahead while managing time effectively.
- Manage the daily schedule, multiple requests, and priorities of the Executives, including all travel and expenses, ready to handle international itineraries and last-minute changes.
- Maintain the Execs’ calendars meticulously and thoughtfully, proactively scheduling ahead and amending 1:1s and clashes with advance notice to prevent last minute chaos.
- Build relationships with key stakeholders in Marketing, Executive Support and throughout the company.
- Manage and execute team events and offsite meetings, including requirements gathering, venue selection, budget management, contract processing through Procurement and Accounts Payable, and onsite logistics.
- Manage all travel logistics and associated expenses, ready to handle last-minute changes.
- Liaise with execs, drive, create and review spreadsheets, slide decks, and meeting agendas.
- Track action items and key issues to closure with a high degree of accountability and autonomy.
- Work cross-functionally with a diverse range of individuals at all levels in the organization and across multiple time zones.
- Assist with special assignments/projects, as needed.
Requirements
- 4+ years experience supporting executives, or other relevant experience working directly with executives.
- Bachelor's Degree or equivalent work experience is preferred.
- Proficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing tools.
- A strong team player, who thrives in a collaborative setting and can work with individuals at all levels of the organization.
- Highly organized with meticulous attention to detail and complex calendar management experience.
- Strong verbal and written communication skills.
- Creative, flexible, and innovative team player.
- Experience booking high volume domestic and international travel.
- Proven ability to keep a calm head under pressure, exercise judgment, and anticipate changes.
