About the Role

We are seeking a highly organised and proactive Event Manager (m / f / d) to join our Communications & Marketing team. In this role, you will take the lead in planning, coordinating, and delivering impactful events that engage our stakeholders and strengthen our organisation’s profile. You will work closely with the communications team to ensure seamless promotion, consistent branding, and a high-quality participant experience.

This position is ideal for a candidate with proven event management skills, an eye for detail, and a passion for creating memorable experiences—while balancing operational efficiency and creativity.

Responsibilities

Event Planning & Delivery

  • Plan, coordinate, and execute in-person, hybrid, and online events, from concept to post-event follow-up.
  • Manage event timelines, budgets, and supplier contracts.
  • Coordinate venues, catering, AV / technical support, and logistics.
  • Liaise with speakers, sponsors, and partners to ensure high-quality participation.
  • Setup and manage event tools, including the speaker management, event app and registration platform.
  • Coordinate event production agency and additional support roles, depending on event complexity.
  • Oversee on-site event operations, including registration, set-up, and troubleshooting.

Communications & Promotion

  • Collaborate with the communications team to develop event marketing strategies and promotional materials.
  • Ensure all event branding, signage, and content align with organisational guidelines.
  • Work with social media and web teams for event listings, announcements, and live coverage.
  • Draft participant communications, including invitations and updates.

Evaluation & Reporting

  • Collect and analyse participant feedback.
  • Prepare post-event reports, including attendance data, budget reconciliation, and recommendations for improvement.
Requirements
  • Minimum 3 years of experience in event management (experience in international or multi-stakeholder environments is a plus).
  • Strong project management skills and the ability to manage multiple events simultaneously.
  • Excellent communication skills in English (both written and spoken); additional languages are an asset.
  • Proficiency in event platforms (e.g., MS Teams, Zoom Events) and tools (e.g., Microsoft Office).
  • Experience with budget management and supplier negotiations.
  • Creative problem-solving skills and the ability to stay calm under pressure.
  • Willingness to travel occasionally for on-site event support.
