Your Role
As Events Coordinator, you will support the Senior Events Advisor and the Show Advisor in preparing and delivering the event portfolio. You will also ensure the operational implementation of The Ocean Race’s Sustainability Event Excellence Programme on-site.
Key Responsibilities
Pre-Event
- Assist in the planning and preparation of the Event Programme: drafting key documents, updating run sheets, sharing information via RaceNet (extranet), internal communications, presentation creation, researching creative ideas, contacting suppliers, gathering quotes, checking invoices, purchasing equipment and supplies, and liaising with Host Cities and internal departments.
- Support the planning & preparations of the Sustainable Event Excellence Program: monitor delivery of sustainability requirements requested to the Host Cities (e.g. water, waste, energy, F&B, transport, inclusion, etc.); identify challenges and propose solutions; coordinate with internal departments; collaborate with the learning programme and communications teams; explore best practices to measure energy, water, and waste at each venue.
During the Event
- Support the Senior Events Advisor in delivering Ocean Live Park events, including daily entertainment schedules, MCs, entertainment acts, Event TV, Dome and Cockpit operations and additional support in activations such as Pit Lane and Behind the Scenes.
- Assist the Senior Events Advisor and the Show Advisor in delivering special Ocean Live Park events such as Arrival Ceremonies, In-Port Race dock-out shows, prize-givings, Leg Start shows, and Awards Nights.
- Ensure on-the-ground implementation of the Sustainability Event Excellence Programme according to defined standards.
- Coordinate measurement of energy, water, and waste during the event.
- Oversee the proper setup and functioning of water stations, recycling bins, bike racks, etc.
- Set up production offices, brief and coordinate suppliers, temporary staff and volunteers, manage equipment and supply inventories and ensure smooth event operations.
- Supervise volunteers, stakeholders, vendors, and cleaners to ensure compliance with the Sustainability Event Excellence standards.
- Maintain strong relationships with Host Cities, venues, and suppliers.
- Support the delivery of business development, VIP, and protocol programmes for other departments as needed.
Post-Event
- Support the Senior Events Advisor in managing the inventory and storage of Ocean Live Park assets.
- Contribute to the Sustainability Report by providing summaries and data on the event’s sustainability performance and overall impact.
- Contribute to the Race Report by providing summaries and data on the event’s performance and overall impact.
General Support & Event Contribution
- Assist colleagues in the production and success of The Ocean Race event.
- Contribute to sustainability initiatives, reflecting The Ocean Race’s commitment to ocean conservation.

Qualifications & Skills
- Degree in Event Management, Sustainability, or related field is a plus.
- Experience in event coordination, preferably in large-scale or international events.
- Strong organizational and multitasking skills, with attention to detail.
- Knowledge or experience in sustainability practices and environmental standards for events.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office and project management tools; knowledge of RaceNet or similar extranet systems is a plus.
- Fluent in English (written and spoken); additional languages (especially Spanish or French) are an asset.
- Able to work under pressure, adapt quickly to change, and collaborate across diverse teams.
- Willingness to travel and work flexible hours, including weekends during events.
