An international organization in the healthcare and scientific field is looking for a dynamic and detail-oriented Event & Congress Operations Coordinator to join their global team. This role plays a key part in managing corporate event operations and ensuring the company’s presence at major congresses is executed to the highest standards.

Key Responsibilities

  1. Coordinate the full operational execution of assigned congresses and events (documentation, logistics, catering, transportation, accommodation, stand setup, and on-site client service).
  2. Manage event budgets and compare spending with historical data to optimize cost efficiency.
  3. Oversee vendor payments and verify proper allocation of expenses.
  4. Represent the company at congresses, introducing corporate projects and offerings, and providing support to senior executives when required.
  5. Ensure proper follow-up of new leads generated during events until handoff to the commercial team.
  6. Build and update a portfolio of event sponsors and maintain strong relationships.
  7. Coordinate internal teams and external partners involved in the preparation and execution of congress participation.
  8. Create post-event reports, analyzing performance and ROI, and report regularly to the direct manager.
  9. Provide support on additional strategic projects as assigned.

Candidate Profile

  1. Bachelor's degree in Public Relations, Protocol, Institutional Communication, Tourism, or similar.
  2. Minimum 2 years of experience in a similar role.
  3. Advanced proficiency in Microsoft Office tools.
  4. Fluency in English and French is essential; additional languages are a plus.
  5. Strong organizational and interpersonal skills, with the ability to multitask and work under pressure in international environments.
