The European University Hospital Alliance (EUHA) is formed by eleven leading European university hospitals with demonstrated excellence in healthcare education and research. Our members are Assistance Publique-Hôpitaux de Paris in France; Charité Berlin in Germany; Erasmus MC in the Netherlands; Karolinska University Hospital in Sweden; Kings Health Partners in the United Kingdom; San Raffaele in Italy; Vall d'Hebron in Spain; the Vienna University in Austria; and UZ Leuven in Belgium; Helsinki University Hospital in Finland; and Aarhus University Hospital in Denmark. They collaborate to improve outcomes for today’s and tomorrow’s patients. The strategic priorities of EUHA are high-value care, innovative cancer therapies, responsible research and innovation, digital transformation, rare diseases, and sustainable healthcare systems.

EUHA was founded in 2017 and is a young and vibrant organization with over 250 colleagues from member university hospitals collaborating across various networks and working groups. The EUHA office manages the organization and operations, supporting these networks to deliver the EUHA strategic plan and serving as the link between colleagues and the EUHA Steering Committee. EUHA seeks to strengthen its administrative and organizational support and is therefore hiring a secretary.

The EUHA admin will work as part of the EUHA office, playing a pivotal role in supporting the development and growth of the organization’s activities and projects. The successful candidate will ensure that all processes and initiatives are carried out with high standards of quality, efficiency, and punctuality, consistently meeting deadlines. Responsibilities include coordinating and executing administrative tasks, organizing meetings and events, and preparing reports and relevant documentation. The Secretary will collaborate closely with internal teams and external stakeholders to facilitate the successful implementation of EUHA’s strategic objectives. This role is essential in strengthening operational standards and ensuring smooth, effective execution of initiatives aligned with EUHA’s mission and vision.

Education and qualifications:

Required:

  • Advocate training or Administrative Assistant degree or equivalent professional education in health sciences, public policy, marketing, or related fields. Candidates with comparable knowledge, skills, and abilities obtained through other education forms are encouraged to apply.
  • High proficiency in written and spoken English.

Desired:

  • Fluency in other languages, specifically Catalan, Spanish, or other EUHA languages.

Experience and knowledge:

Required:

  • Previous experience in administrative activities, with strong organizational skills and knowledge of administrative tasks.
  • Experience with Office suite tools.
  • Proactive with problem-solving attitude.
  • Well-organized, able to work under tight deadlines.
  • Excellent writing and communication skills.
  • Good team player.
  • Eagerness to learn.

Desired:

  • Experience in an international environment.
  • Experience in healthcare and/or research.

Main responsibilities and duties:

  • Organizing meetings: scheduling, sending invites, drafting minutes and recaps.
  • Formatting documents, agendas, and publications.
  • Managing specific project administrative tasks.
  • Managing access to Teams channels and updating the Planner.
  • Maintaining EUHA information management system.
  • Performing other tasks as decided by the Members Assembly, Steering Committee, or Secretary General and Office.
  • Occasional travel to EUHA member hospitals or events.

Labour conditions:

  • Full-time position: 40 hours/week.
  • Gross annual salary: €26,000, aligned with our Collective Agreement pay scale.
  • Contract: Open-ended, linked to an 8-month project.
