Company : Ascenso International ; Working in partnership with Rise International ( Job Title : Erasmus Hosting Coordinator (Freelance) Location : Valencia, Spain Start Date : September 2025 Engagement Type : Freelance (Remote / On-Site as Needed) Duration : Ongoing from September 2025 (with intensive on-site work during placement periods) Application deadline : Monday 30 June Please send your CV and a cover letter, outlining your skills and experience, and why you think you are a good fit for the role, to Overview : We are seeking a highly motivated self-starting Erasmus Hosting Coordinator to support the successful delivery of our Erasmus+ and Turing Scheme mobility projects in Valencia.

The successful candidate will work independently with support from the UK based team through regular remote meetings and monthly in-person visits.

The coordinator will manage two key phases of the program : Pre-arrival phase (starting September 2025) : Sourcing and securing quality work placements, suitable accommodation and establishing partnerships with at least two local secondary schools On-the-ground phase (starting in 2026) : Prepare / plan for group arrivals, providing logistical, health & safety and pastoral support to students during their stay in Valencia.

We work with two different age groups of students.

The majority of students traveling to Valencia will be aged 18–20, travelling from the UK and France to undertake a 2–4 week vocational internship in the fields of : Travel and Tourism Creative Industries Engineering & Renewable Technologies Business & Finance Art & Design Each cohort travelling for a vocational work placement will include a minimum of 10 students per vocational area and 1 staff member.

The second group of students we work with are 11 – 16 year olds.

We will typically send these students to complete a 5 – 7 day cultural exchange with a secondary school, located within the Valencia area.

Each cohort travelling for a cultural exchange will include a minimum of 20 students and 4 staff.

Key Responsibilities : Phase 1 : Preparation & Setup (September 2025 onwards) Identify and liaise with local businesses in relevant vocational sectors to secure meaningful short-term internship placements.

Build strong relationships with host organisations, understanding both their needs and the students' learning goals.

Develop clear role descriptions with tasks that are appropriate for vocational learners Develop induction & orientation activities and timetable for student groups Ensure placements meet pre-defined Erasmus+ quality standards and safety guidelines (training / guidance provided).

Source and negotiate budget-friendly accommodation options including shared apartments, hotel and hostel arrangements.

Coordinate and document risk assessments for all work placements and student accommodations.

Ensure host organisations and accommodation providers hold relevant insurance coverage (e.g., public liability, premises safety) and obtain copies for project records.

Maintain regular communication with the UK and French project leads, providing updates on placement progress.

Phase 2 : Student Support Act as the main point of contact for students and tutors on the ground during their placements in Valencia.

Coordinate airport transfers, orientation sessions, and first-day placement introductions.

Provide ongoing pastoral and logistical support, responding to issues related to accommodation, health, placement performance, and wellbeing.

Monitor and respond to any health and safety concerns during student placements.

Manage communication with employers during placements to ensure positive experiences for all parties.

Assist with collecting feedback and evaluation data at the end of placements.

Required Skills & Experience : Based in or near Valencia, with strong local knowledge.

Fluent in Spanish and English; French a strong advantage.

Proven experience in coordination or project management roles, ideally within education, internships, or Erasmus+ projects.

Excellent communication and negotiation skills.

Ability to work independently and meet deadlines without close supervision.

Understanding of the vocational education landscape and youth mobility programs preferred.

Basic understanding of health and safety protocols in workplace and residential settings; training can be provided.

Understand the needs of young people from diverse backgrounds and those with fewer opportunities Engagement Details : Freelance contract, flexible hours initially 2 days per week (more intensive during student visits).

Must be available to support multiple short-term visits during 2026 (exact dates TBC).

Candidates may apply for either the preparation phase, the support phase, or both.

Compensation : Suggested Rate : €30–€35 per hour depending on experience (freelance basis) This rate reflects freelance coordination work in Spain, adjusted for the bilingual requirement, sector knowledge, and student-facing responsibilities.

Actual rate to be negotiated based on experience, availability for both phases and scope of involvement.

Interviews will take place in person in Valencia on 8th July 2025 and will be in English.
