The ideal candidate will have a degree in Health and Safety, with experience in documentation management on CAE platforms. You'll play a key role in ensuring client access compliance and maintaining health and safety records, contributing to a culture of safety and operational excellence.

We are now on the lookout for an EHS Administrative Assistant to join our dynamic team in Madrid!

Job Summary :

• Administrative assistant / a with experience in CAE platform management.
• Responsible for ensuring a fast and efficient documentation management throughout different online CAE platforms.
• Manage all accesses to client sites, according to both client and legal requirements.
• Knowledge of occupational risk prevention.

What kind of work will you be doing?

• Coordination of accesses to client facilities with operations team.
• Maintain all online CAE platforms documentation up-to-date.
• Keep track of internal and external needs regarding documentation.
• Keeping all the workers Health and Safety documentation updated.
• Managing all the legal documents with the subcontractors and customers.
• Representing the Company in the Safety Coordination Activities Customer’s.
• Review of online CAE platforms and documents according to criteria established by clients.
• Support external and internal customers and subcontractor’s.
• Project status control : Start and end, employees and companies involved. H&S Plans preparation.
• Ensure proper EHS record keeping.
• Provide full responsiveness to internal & external customer.
• Attend the required trainings and meetings when held.
• Inform of required trainings and platform document coordination changes.

What do we need from you?

• Degree in Health and Safety, preferably with an Intermediate Degree a least.
• Minimum experience of 6 months in the Coordination of Business Activities requested documentation.
• Know-how of CAE platforms such us E-Coordina; Dokify; E-gestiona or Ctaima.
• Microsoft office. Excel advanced user.
• Driving license.
• Good Communication Skills.
