Descripción del empleo

Job Responsibilities
  1. You will be responsible for managing the flow of financial documentation such as purchase orders, invoices, credit notes, and receipts. This includes tracking these documents to ensure they are processed and forwarded correctly.
  2. Overseeing accounts payable and receivable will be part of your role, ensuring that all payments are processed accurately, uploaded into the banking platform, and regularly monitored across bank accounts.
  3. Coordinating external financial advisors for reporting and accounting purposes under the guidance of the Commercial Manager of the department.
  4. You will handle office coordination, managing contracts and services for ENERTRAG offices in Iberia and Latin America, including overseeing IT infrastructure, procurement, maintenance, subscriptions, and coordinating with HSE service providers.
  5. Supporting department managers by scheduling meetings, maintaining an effective filing system (both electronic and paper), and handling travel arrangements, including checking and processing travel expenses, as part of your administrative support duties.
  6. Your role will include assisting with the management of suppliers, ensuring their registration, evaluation, and qualification, as well as ensuring that supplier invoices are properly allocated to relevant projects for cost control.
  7. Assisting with the preparation of financial documentation for statutory audits, taxes, and legal filings. You will also support the accounting team and ensure compliance with all financial regulations.
Qualifications
  • A minimum of 3 years of experience in financial administration, including handling accounts payable and receivable, financial documentation, transactions, or equivalent.
  • Excellent organizational skills are necessary to manage multiple tasks, maintain an organized filing system (both digital and physical), and ensure timely processing of financial documentation.
  • Strong attention to detail is critical, especially when managing discrepancies, reconciling invoices, and ensuring the accuracy of all financial documentation.
  • Experience in managing office operations and coordinating supplier relationships is important. You should be able to assist in ensuring supplier invoices are correctly allocated to projects and support the team with office service contracts.
  • Strong communication skills, both written and verbal, are essential for coordinating with external financial advisors, suppliers, and internal teams across Iberia and Latin America.
  • Fluency in English and Spanish is required to effectively communicate and interact with diverse stakeholders.
