The ideal candidate will have significant experience, strong communication skills, and the ability to handle confidential information with discretion.

Formación

  • Minimum of 10 years' experience as an Executive Assistant, preferably to a CEO.
  • Full proficiency in English; knowledge of French is an asset.

Multinational group within the chemical sector, with headquarters in the province of Barcelona (Vallés Oriental), needs to incorporate an EXECUTIVE ASSISTANT TO CEO.

Reporting directly to the Group CEO, s/he provides executive assistance in a one-to-one working relationship, being responsible for providing comprehensive support and facilitating the CEO’s daily activities. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Main responsibilities:

  1. Organize board of directors meetings and prepare materials (travel arrangements, meals, proofreading minutes, presentations).
  2. Manage the CEO's agenda efficiently, prioritizing inquiries and requests, troubleshooting conflicts, and making judgements and recommendations for smooth daily operations.
  3. Schedule meetings, teleconferences, and video conferences across different time zones.
  4. Handle travel logistics, coordinate with travel agencies and hotels, and manage related contracts, itineraries, expenses, and filings.
  5. Provide hospitality to all guests of the CEO and help create a welcoming environment.
  6. Prepare electronic files and proofread for spelling and grammar accuracy.
  7. Assist with social responsibility tasks such as donations and NGO collaborations.

Requirements:

  1. University degree; an Executive PA diploma or certification is a plus.
  2. Minimum of 10 years' experience as an Executive Assistant, preferably to a CEO.

Languages:

  1. Full proficiency in English.
  2. Knowledge of other languages, especially French, is an asset.

Proficient in MS Office, own car required.
