We are looking to hire a Group Supplier Specialist (based in Barcelona, Spain) to join our team! Reporting to the Senior Group Operations Manager, you’ll handle hotel contracting, procure travel-related services and vendors, and handle data entry. This role involves strategically sourcing and acquiring group services, handling supplier relationships, and ensuring internal data is accurate and available.

What you’ll do :
- Identify, evaluate, and negotiate ad hoc group requests with hotels all over Europe to secure the best rates within given budgets as well as booking & payment conditions.
- Process group hotel contracting through an in-house system (Softrip).
- Source and procure travel-related services (e.g. transportation, local guides & assistants, restaurants, unique admissions, etc.)
- Active support of the group sales team with ad hoc quote requests for customized services and activities.
- Actively grow vendor portfolio in major European destinations and update in-house database.
- Build and maintain positive relationships with hotel representatives and other travel vendors.
- Monitor quality control of contracted hotels and service suppliers.
- Obtain, review, and handle vendor contracts, insurance certificates, and other vital compliance documents (general review annually, ongoing as per request from operations).
- Supervise risk activities and research and contract suitable suppliers.
- Work in partnership with vendors to contract and / or renew contract agreements when required.
- Provide excellent support and information to all co-workers.
- Process advance payments for group hotel deposit invoices as needed.
- Ensure compliance with company policies and industry standards in all procurement activities.
Travel Requirements :
Travel may be required (if applicable, max. 1–2 times per year) for site inspections or quality control of high-priority groups (as approved by the Group Director and Sr. Group Operations Manager).
Data Entry Management :
- Accurately enter and update contract details, pricing, and supplier information in our in-house database (Softrip) for all group-related services.
- Quarterly review and update of sample hotel rates.
- Annual review and update of all other service-related services (guides, transportation, admissions, restaurants, etc.)
- Collaborate with operations and sales teams to identify, troubleshoot, and resolve data discrepancies.
- Support data cleansing initiatives to enhance the accuracy and reliability of service and rate information in the in-house system.
- Create and upload new suppliers and group products into the in-house system as per request from sales and operations.
- Assist in generating reports and tracking cost developments.
Operational hours are :
Monday – Friday, 09 : 00 am – 6 : 00 pm or 10 : 00 am – 7 : 00 pm (1 hour lunch)
What you’ll bring :
- Undergraduate degree or equivalent experience in travel, business administration, hospitality management, or a similar field.
- Fluent level of both written and spoken English.
- Additional languages such as Spanish, French, German, and Italian are an advantage.
- Strong communication skills to be able to engage effectively and collaboratively with multiple nationalities.
- Skilled in handling multiple tasks, setting priorities efficiently, and excelling in time management.
- Candidates should enjoy performing data entry tasks, taking pride in meticulously updating supplier information, and maintaining accurate records.
- Capability of handling high-pressure situations and resolving issues effectively.
- Exceptional attention to detail.
- Proficient in MS Office, including MS Excel, MS Word, and Outlook.
- Experience with reservation systems designed for Tour Operators is an advantage.
- Capability to leverage creativity in developing and recommending new service ideas.
- Ability to multitask and work under pressure in a fast-paced work environment.
- Good level of negotiation skills.
