The Facilities Manager (in Werfen Tower) will be responsible for the comprehensive management of the company's headquarters, where all global departments are located. His / her mission will be to ensure a safe, efficient, and functional working environment by managing both internal services and external vendor relationships. This role will be performed in a building owned by a third party and will also include managing the relationship with the landlord. This role is going to report to the Facilities and Soft Services Manager.

Key Accountabilities
  1. Comprehensive Building Management

Oversee all building operations and soft services, such as cleaning, pest control, canteen, gardening, etc. Hard services (HVAC, electricity, electric chargers, security systems, etc.) will be managed by the engineering and hard services area of the department. Coordinate all movements, works, and workplace impact.

  1. Vendor Management

Coordinate with service suppliers to ensure they meet contractual obligations and provide efficient, quality services.

  1. Landlord and Internal Stakeholder Relationship Management

Be the primary point of contact within the building, managing any issues, infrastructure maintenance, etc. Manage the office and be the point of contact for incident resolution, event coordination, and fostering a positive environment. Communicate with the landlord to coordinate all actions, operations, and services.

  1. Budget and Cost Control

Execute the annual facility management budget, always seeking operational efficiency and resource optimization. Create purchase orders for all services and corrective actions that arise in the office.

  1. Services, Tasks, and Supplier Management

Oversee and coordinate office renovations, improvement projects, expansions, and services schedules. Responsible for ensuring services comply with regulatory and quality requirements, such as ISO 14001, ISO 9001, ISO 27001, and other applicable standards.

Networking / Key Relationships
  • Facilities Department: Collaborate with Engineering and Hard Services, Soft Services, Controlling, and the Head of Department.
  • Internal Stakeholders: Interact with all company departments and C-Suite; all are internal clients.
  • Landlord: Coordinate with the landlord’s representative and team.
  • Facility Services Suppliers: Work with engineers, contractors, security, maintenance, construction providers, and the internal maintenance team.
Minimum Knowledge & Experience
Educational Background

Bachelor's degree in Engineering, Architecture, Business Administration, Facilities Management, or a related field.

Professional Experience

Minimum of 5 years in facilities management, preferably in a multinational or large-scale organization. Experience managing leased properties and working closely with landlords. Experience managing both technical and non-technical services such as maintenance, cleaning, security, and other building operations.

Technical Skills

Knowledge of facilities management software (CMMS, building management systems). Familiarity with construction and renovation processes, including vendor selection and project management.

Communication and Negotiation Skills

Excellent written and verbal communication skills for interacting with internal departments, suppliers, contractors, and landlords.

Languages

Spanish: Fluent; English: Skills & Capabilities

Additional Skills

Advanced knowledge in facility management, preventive and corrective maintenance. Strong interpersonal skills, report presentation abilities, customer focus, and a proactive approach to service improvement.
