The Manager, Fleet Operations Italy Spain & Portugal, is part of a global team overseeing the company's car program, a key benefit for eligible BMS employees. The role involves managing fleet operations, reporting, analytics, cost reduction, process improvements, project management, and coordinating external suppliers. The position reports to the Senior Manager Fleet Operations EMEA and emphasizes analytics and operational excellence.

Key Responsibilities

  • Contribute to initiatives like cost reduction, EV adoption by 2040, and policy guidelines.
  • Develop and review local policies, identify process improvements based on analytics and trends.
  • Examine external market trends, lead integration of new suppliers, collaborate with procurement and legal teams.
  • Review and negotiate supplier contracts for operational support.
  • Ensure data consistency and resolve discrepancies with cross-functional teams.
  • Manage invoice processing for fleet vendors, including POs and billing issues.
  • Build and maintain the Car List aligned with safety, environmental, and budget goals, benchmarking externally.
  • Identify cost-saving opportunities and create business cases for stakeholders.
  • Lead projects on environmental requirements, procedure implementation, and change management.
  • Support stakeholders on initiatives supporting BMS goals.

Reports and Analytics

  • Maintain global scorecards and KPIs.
  • Forecast and report fleet budgets, produce reports for various departments and management.
  • Generate management reports and perform business reviews of fleet providers.
  • Support drivers with local law and taxation requirements related to company cars.

Operational Management

  • Act as the first contact for internal stakeholders regarding fleet management questions.
  • Maintain good relationships with work councils, ensuring fleet operations align with employee interests and regulations.
  • Manage external vendors and support daily fleet activities.
  • Handle escalation issues with fleet providers.
  • Manage the fleet inbox and coordinate operational activities.
  • Partner with category leads on best practices for mobility solutions.
  • Address user feedback to improve processes.
  • Make decisions on maintenance and repairs outside standard parameters.
  • Coordinate insurance card issuance, monitor driver behavior, and manage fleet operations for new hires and transfers.
  • Collaborate with EHS on safety training and medical exceptions.
  • Manage external vendors for fines, tolls, parking, and other fleet-related activities.
  • Analyze mobility trends and employee needs, and support local mobility projects.
  • Ensure compliance with local laws.
  • Analyze market trends, supplier performance, and cost-saving opportunities.
  • Participate in supplier management activities and develop performance metrics.
  • Support analytics for root cause issues in escalated cases.

Qualifications & Minimum Requirements

  • Fluent in English and at least Italian and / or Spanish.
  • At least 5 years of relevant business experience.
  • 2-4 years of multi-disciplinary fleet or related experience, with skills in spend analysis and data visualization tools.
  • Experience in enabling services roles, preferably globally.
  • Knowledge of procurement, contracts, financial and market analysis, and supply chain management.
