What are we looking for?

We’re looking for an Office Manager to oversee the smooth day-to-day operations of our Madrid office and support the team with logistics, travel, and internal events. This role is key to keeping things running behind the scenes and helping create a great workplace environment.

We’re looking for someone proactive, organized, and hands-on — someone who can multitask, solve problems quickly, and take care of the little things that keep the team happy and productive. You’ll be our go-to person for anything office-related.

What are the requirements for this role?

  • Education: Degree in Business Administration, Communication, or a related field.
  • Experience: 2–3 years of experience in office management, administrative support, or similar roles — ideally in a startup or fast-paced environment.
  • Tools: Comfortable using Microsoft Office and basic tools for coordination and logistics.
  • Languages: Strong communication skills in both Spanish and English (essential, since many of our stakeholders are international).
  • Organizational skills: Able to manage tasks, set priorities, and stay on top of details.
  • People skills: Approachable, team-oriented, and able to work well with both internal teams and external providers.
  • Autonomy: Comfortable working independently and taking initiative when needed.


What will you be responsible for?

Office Operations

  • Ensure the day-to-day running of our Madrid office.
  • Manage office supplies, maintenance needs, and relationships with suppliers and building staff.
  • Be the go-to person for all office-related questions and needs.


Travel and Logistics

  • Book travel and accommodations for team members, especially those visiting from other parts of Spain.
  • Coordinate monthly visits from our remote employees and ensure they’re well taken care of.


Onboarding and Admin Support

  • Help onboard new team members by setting up their desks, equipment, and welcome materials.
  • Support administrative tasks like handling deliveries, expense reports, and basic coordination with the finance team.


Team Culture and Events

  • Organize monthly team events and help plan annual offsites or internal gatherings.
  • Assist with initiatives that make Embat a fun, inclusive, and engaging place to work.
