Overview

We are looking for a Customer Service Coordinator to join our Supply Chain team in Vitoria-Gasteiz.

In this role, you will play a key part in the day-to-day management of customer orders and in coordinating activities across customers, Sales, and different Supply Chain teams. You will help ensure orders are processed accurately, deliveries are executed efficiently, and any issues are resolved quickly and effectively.

Responsibilities

What will you do?

Order Management & Delivery

• Review and validate customer orders, including standard, promotional, sample, and donation orders.
• Process order changes and cancellations.
• Check product availability and coordinate quantities with the Supply Planning team.
• Create and update delivery information in the system.
• Monitor undelivered orders and ensure they are properly closed.
• Manage blocked orders by identifying issues and coordinating their resolution.
• Optimize orders and transportation combinations to improve logistics efficiency.
• Manage returns, refusals, and empty packaging returns.
• Maintain accurate and up-to-date logistics information for customers and products.
• Prepare and share relevant reports and performance information.

Customer & Cross-Functional Coordination

• Maintain regular communication with customers and internal teams to resolve issues and address specific requirements.
• Work closely with Sales, Supply Chain, Call Center, and other departments to find efficient solutions.
• Coordinate activities and follow up on tasks at national and regional levels.
• Adapt communication to different customer needs and business situations.
• Participate in meetings and coordination activities with different stakeholders.

Supply Chain Support

• Support Supply Chain training initiatives and programs.
• Contribute to process improvements and more efficient order and delivery management.
• Prepare information and analysis to support business decision-making.

Qualifications

What are we looking for?

• Native or bilingual Spanish.
• Advanced Portuguese — required.
• English B2+ — a plus.
• Strong knowledge of Excel and Microsoft Office.
• SAP experience — a plus.
• Previous experience in Customer Service, Order Management, Supply Chain, Logistics, or a similar role is preferred.
• Strong analytical and numerical skills.
• Excellent communication and interpersonal skills.
• Ability to manage multiple priorities and tasks simultaneously.
• Organized, proactive, and results-oriented mindset.
• Comfortable working in a dynamic environment and meeting tight deadlines.
