Customer Operations Administrator 100%

Location: Barcelona, Spain

Your contribution

In this challenging and important role, you will be part of the Customer Operations Team. Customer Operations is a cross-functional collaborative team that acts as the focal point between Customer, Sales, Service, and Operations. The team ensures that all responses are handled in a timely manner with expertise and proficiency, meeting all needs while ensuring processes are aligned, optimized, and compliant.

Your responsibilities will include :

  • Processing customer orders and contracts from order entry to invoicing
  • Managing contracts, warranties, and creating stakeholder notifications
  • Providing accurate and timely information to key stakeholders in the order management process (e.g., customers, suppliers, service, and sales colleagues)
  • Organizing and monitoring transportation associated with orders
  • Collaborating with internal stakeholders, e.g., providing information on order status, delivery status, invoicing
  • Maintaining an accurate order inventory and internal reports
  • Creating and maintaining customer accounts (existing and new) in the ERP system
  • Providing administrative support to the CO Team and other regional offices in Europe as needed (backup during vacations or sick leave)

Your background

  • Degree in Commercial Administration or similar
  • Minimum 2 years’ experience in a similar role (Customer Service, sales support, or back-office functions)
  • Familiarity with SAP, Microsoft Office Suite, basic logistics knowledge
  • Ability to work independently, strong customer service orientation, effective internal and external communication skills
