What We Need :

We are looking for someone who will play an integral part in ensuring that the operations of this office run smoothly. We need someone who loves interacting with many different people and teams, someone who finds joy in helping others.

Reporting to our Studio Lead you will have access to on-the-ground support in your role. This role will allow you to grow your skills and learn from top talent. It is key for this role to be office based.

What You Will Do :

  • Perform an array of administrative tasks for the Operations team in Madrid; including meeting room bookings, effective management of office policies, travel booking
  • Process purchase orders and supplier setup
  • Point of contact for visitors and NDA co-ordination
  • Support with new starters, including building access
  • Partner with Office Studio Head on organization of employee & wellness events
  • Monitor office supplies inventory and place orders
  • Coordination of office operations meetings and tracking of actions
  • Manage post and couriers
  • An aspect of manual handling may be required to support the office, facilities and IT teams
  • Maintain organized records, files, and databases for easy access
  • Parking system tracking
  • Support changes in workstations set up, ensure office equipment is maintained and troubleshoot minor issues
  • Support office operations in daily tasks
  • Creation and management of forms and registrations
  • Assist in scheduling meetings, appointments, and travel arrangements.
  • Process invoices, track expenses, and support basic accounting tasks
  • Coordinate with various departments to support business operations
