The Global Commercial Operations Coordinator will support our international commercial team. This role is essential in ensuring seamless execution of key commercial activities, logistical coordination, compliance approvals, and sales operations support. It will work cross-functionally to enhance operational efficiency and contribute to the success of our commercial initiatives.
Responsibilities
- Event & Logistics Support:
- Assist in planning and executing key commercial events.
- Organize travel arrangements for internal teams as needed.
- Oversee booth setup, logistics, and engagement strategies for industry congresses.
- Compliance & Documentation Management:
- Manage compliance approval processes for contracts, agendas, and other documentation.
- Coordinate the completion of quality, regulatory, and compliance forms for customer qualification.
- Oversee the signature process of Confidentiality Agreements (CDAs) using DocuSign.
- Support sales processes, including customer onboarding.
- Gather and verify legal documentation for customer registration.
- Process and track purchase orders (POs) for operational needs.
- Request and consolidate 12-month sales forecasts from customers.
- Track incoming orders to meet sales expectations.
- Monitor unpaid invoices and follow up for collections.
- Product & Partner Coordination:
- Facilitate setup of new product SKUs in internal systems.
- Manage assessments of potential partners via Catalyst.
- Oversee registration and approval of new suppliers.
- Collaborate on tender documentation.
- Manage letters of credit and bank guarantees.
- Process Optimization:
- Act as process owner for purchase order management, ensuring efficiency and compliance.
Organization & Relationships
- Internal: GPA and related departments.
- External: communication agencies, market research agencies, travel agencies, congress organizers, partners, etc.
Job Profile
Required Education & Experience
- Bachelor's degree in Business Administration, Commerce, or related field.
- Experience in commercial operations, sales support, or administrative roles in the pharmaceutical or healthcare industry is a plus.
- Familiarity with compliance regulations, financial processes, and customer onboarding.
- Proficiency in Microsoft Office and CRM systems.
- Languages: Knowledge of German, Italian, or French is a plus.
- Approximately 3 years of relevant professional experience.
