Collaboratorium Project Manager

Your role / Main Duties and Responsibilities

  1. Project Management: Schedule, management and follow up of all activities of the Collaboratorium, project and financial reporting.
  2. Event Organisation: Themed symposium & colloquium, regular seminars series of invited speakers, workshops, and summer schools.
  3. Communication and Outreach: Develop and implement a communication / marketing plan to enhance the visibility of the initiative. Manage outreach activities, including website content, newsletters, reports, and social media presence. Ensure clear and effective internal communication.
  4. Stakeholder Engagement: Build and maintain strong relationships with internal and external stakeholders and researchers, institutional partners, funding agencies, among others.
  5. Growth & Sustainability: Identify funding opportunities and contribute to grant writing and proposal development. Develop strategic partnerships to expand the initiative’s reach and impact.
  6. Administrative Tasks: Execute general administrative tasks and contribute to the EMBL Administrative Team operations.

You have

  1. A Master’s in a relevant field (e.g., Research Management, Public Policy, Science, Business, or Communications).
  2. Minimum of 5 years of experience in project management within research, academia, or related sectors.
  3. Ability to work independently and take initiative: Self-initiative, self-entrepreneur, proactive and the ability to work both independently with a minimum of supervision and collaboratively with relevant stakeholders.
  4. Proven ability to coordinate complex projects.
  5. Ability to manage multiple tasks in a fast-paced environment.
  6. Ability to ensure that matters are dealt with efficiently, effectively and in a timely manner, paying attention to detail.
  7. Strong experience in stakeholder engagement and relationship management.
  8. Excellent written and verbal communication skills.
  9. An excellent command of English and working knowledge of Spanish.
  10. Some familiarity with research funding mechanisms and proposal development.
  11. Experience working abroad or in an international / multi-cultural environment.
  12. Flexibility, service-oriented attitude, start-up mentality and good judgement.
  13. Experience in growing initiatives or programs.
  14. Knowledge of curation of websites, video management and communications / design software.
  15. Understanding of project management processes.
  16. Advanced knowledge of Google Suite (Google Drive, Docs, Sheets, Slides) and MS Office (Word, Excel, PowerPoint).

Contract length: 3 years

Salary: Grade 5
