An established industry player is seeking a Bilingual Personal & Project Assistant to join their close-knit team in Barcelona. This role involves managing various administrative tasks across multiple properties, ensuring smooth office operations, and facilitating personal needs for a distinguished family. Formación

  • Proven experience in administration, preferably in a Private Family Office.
  • Ability to manage standard tech tools with ease.

Our client, a distinguished Family Office, is currently looking for an organised and responsible Bilingual Personal & Project Assistant, to join their team. This role will be undertaken from the Family Office in central Barcelona and will also include coordination of the office.

Responsibilities include (however are not limited to) :

Office

  • Assist with administration of various households / properties (cleaning, utilities, alarm system, repairs, sourcing items for property, etc.)
  • Reconciliation of bank statements, and Real Estate revenues, identifying anomalies not included in budgets and reporting to director
  • Make payments across various bank accounts and record accordingly
  • Identify service providers, coordinate and onboard if necessary
  • Consistently look for ways to improve quality and efficiency, execute requests from senior team members with this in mind
  • Work closely with finance : prepare, send and follow up on invoices, receive and process invoices and correctly archive invoices
  • Manage expenses and archive correctly for finance

General

  • Proactively anticipate the needs of the individuals, learning preferences and incorporating these into all aspects of day-to-day routine
  • Office management : ensure smooth running of workplace, coordinate purchases, inventory and liaison with relevant suppliers
  • Close-knit team work : provide appropriate reporting / updates regarding tasks undertaken, ensure correct information flow to facilitate agile working

Personal

  • Act as key facilitator for personal needs of the family
  • Point to point travel arrangement for family

Candidates will ideally speak English / Spanish / Catalan. A relevant University degree and proven experience in administration, is also a prerequisite (preferably in a Private Family Office). They must be able to manage standard Tech (Microsoft 365, Excel, Slack, etc.) with ease and be numerate, adept at managing Excel and budgets.

The ideal candidate will be organised, discreet and pay exceptional attention to detail. They will be open minded and enjoy working in a close-knit team. Utmost discretion and strict confidentiality are paramount for this role.

Location - Barcelona

Contract - Permanent

Salary - Dependent on Experience

Timetable - Normal office hours - however flexibility required
