Our client, a leading international Pharmaceutical firm, is looking for an exceptional Bilingual Executive to support the CEO and Executive Committee.

Supporting a key team, responsibilities will include :

  • Management of CEO and Committee agendas (7 in total), anticipating schedule changes and working across global time zones (includes some personal matters)
  • Acting as the primary liaison between and for the Executive Committee, ensuring seamless communication and information flow
  • Coordinating complex multi-stop global travel arrangements, including but not limited to : hotels, transfers, flight bookings, detailed itineraries, visas, etc.
  • Working on multiple projects and priorities simultaneously, ensuring tracking for timely delivery / completion
  • Management of personal logistics / matters (holidays, restaurants, company cars, doctor appointments or insurance, etc.)
  • Coordination of Board meetings and logistics surrounding committee meetings
  • Office Administration : including projects impacting daily office operations
  • Event management : organising and coordinating corporate events from initiation to completion
  • Facilitating special requests

This role will be undertaken in English and Spanish (Catalan nice to have). Candidates will be digitally / technologically literate and able to adopt new softwares with ease. Proven experience as an Executive Assistant to a C-Level Executive is a prerequisite for this position, whilst exposure to a pharmaceutical or chemical background is highly advantageous. The chosen candidate will be able to manage standard Tech (Microsoft 365, VC Software, Slack, etc.) with ease. Knowledge of SAP is also advantageous / preferred.

The ideal candidate will be resourceful and operate with a high level of efficiency. They should thrive and feel motivated by working in an ambiguous, changing environment. They will be a strong communicator who is able to deliver and enjoys working at pace and with changing priorities.

Salary - Competitive + Parking

Timetable - 9.00 - 18.00 (Flexibility Required)

Occasional travel required (European)
