Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Bilingual Administrative & Client Support Assistant based in Spain.

The Bilingual Administrative & Client Support Assistant will support the daily operations of a remote education business specializing in live SAT preparation. This role combines administrative coordination, student support, parent communication, onboarding, sales assistance, and technology-related tasks. You will help ensure students receive timely guidance while maintaining accurate records, organizing learning materials, and coordinating essential workflows. Working in a fully remote environment, you will communicate with students, parents, prospective clients, and colleagues in both English and Spanish. The position offers structured training on internal systems and educational processes, making it accessible to candidates without previous SAT preparation experience. With a consistent weekly schedule and opportunities to develop new skills, this role is ideal for an organized, tech-savy professional who values accuracy, reliability, and long-term collaboration.

Accountabilities:

As a remote administrative and client support professional, you will help maintain efficient operations, deliver responsive communication, and ensure that student and client information is accurate and up to date. Your responsibilities will include:

  • Administrative operations and student support: Review student diagnostic assessments and pre-class assignments to identify missing information, incomplete work, or areas requiring follow-up. Prepare and distribute individualized homework lists based on student progress and established procedures.

  • Student progress tracking: Maintain accurate records across gradebooks, homework trackers, progress reports, Google Classroom, spreadsheets, and internal systems. Monitor recurring tasks and ensure information is organized and accessible.

  • Student onboarding and course preparation: Organize student information, prepare learning materials, support access to required platforms, complete pre-course checks, release course materials, and prepare operational documentation.

  • Mock exam assistance: Support practice examinations by proctoring sessions, reviewing submissions, and grading practice exams according to provided training and guidelines.

  • Bilingual client communication: Communicate professionally in English and Spanish with students, parents, and prospective clients through phone calls, email, and messaging platforms. Answer routine questions, provide accurate information, address concerns, and follow established communication standards.

  • Student follow-up: Follow up on missing assignments, deadlines, corrections, and course expectations. Monitor communication channels during assigned shifts and document issues or relevant updates.

  • Client intake and onboarding coordination: Assist with client intake, scheduling, onboarding activities, appointment coordination, and operational follow-ups to support a smooth client experience.

  • Sales and CRM support: Assist with communications involving prospective clients, maintain organized client records, and update CRM systems to track interactions, onboarding progress, and follow-up activities.

  • Technology and systems support: Use Google Workspace, Google Classroom, CRM platforms, and other business applications to manage daily responsibilities. Identify and communicate system-related issues proactively, following established procedures and using sound judgment when unexpected situations arise.

  • Team collaboration and process improvement: Coordinate with team members to complete tasks accurately and on time. Participate in meetings, training sessions, and improvement initiatives while communicating progress, scheduling concerns, and operational challenges.

  • Adaptability and continuous learning: Learn new software, procedures, and workflows as business needs evolve, taking on additional responsibilities within the agreed scope of services.

Requirements:

The ideal candidate is bilingual, detail-oriented, dependable, and comfortable balancing administrative responsibilities with customer-facing communication. You should be able to work independently in a remote environment, follow established procedures, and adapt quickly to new tools and changing priorities. Key qualifications include:

  • Previous experience in administration, customer service, sales support, executive assistance, business support, or a related field.

  • Excellent written and spoken English and Spanish, with the ability to communicate professionally and clearly in both languages.

  • Strong written and verbal communication skills, including experience handling phone calls, emails, and messaging platforms.

  • Excellent organizational, time-management, recordkeeping, and attention-to-detail skills.

  • Demonstrated ability to review work carefully, identify errors, maintain data accuracy, and uphold quality standards.

  • Reliable internet access and a suitable remote work environment.

  • Dependability and flexibility to work an unconventional schedule, including Sundays.
