As we expand our operations and facilities, we are seeking a proactive and versatile Backoffice professional to support our CEO and ensure smooth coordination across the organization.

Position Summary :

We are looking for a hands-on, highly organized Backoffice Specialist with a strong understanding of pharmaceutical operations, regulatory standards, and business dynamics. This role will report directly to the CEO and serve as a key support function to help drive the company’s strategic growth and operational effectiveness.

Key Responsibilities

  • Executive Support to CEO
  • Manage schedules, organize internal and external meetings, and assist in day-to-day coordination.
  • Support CEO in overseeing operational tasks across departments.
  • Operational & Facility Oversight
  • Ensure facilities meet pharmaceutical compliance standards.
  • Coordinate logistics for customer interactions, visits, and shipments.
  • Administrative & Secretarial Duties
  • Prepare reports, manage correspondence, documentation, and internal filing.
  • Serve as a point of contact for vendors, clients, and institutional bodies.
  • Public Relations & Representation
  • Represent the company in communications with external stakeholders.
  • Coordinate events, visits, and outreach activities.
  • Cross-Departmental Coordination
  • Liaise with departments including Quality, Production, and Regulatory Affairs to align workflows.
  • Monitor and resolve administrative bottlenecks proactively.

Candidate Profile :

  • Experience in Pharma : Proven background in the pharmaceutical industry, with working knowledge of GMP, regulatory compliance, and operations.
  • Proactive Attitude : Entrepreneurial mindset and readiness to take initiative without constant supervision.
  • Multitasking Skills : Ability to manage multiple priorities efficiently under tight deadlines.
  • Communication skills, driving license and a car.

Skills : Professional demeanor, strong interpersonal and relationship management skills.

  • Spanish : Native or near-native level (required)
  • English : Strong working proficiency, especially in reading and written communication.
