Assistant House Relations Manager Barcelona - Private Events

The Assistant House Relations Manager at Soho House Barcelona will oversee the planning and execution of private events at the property. The role involves building strong relationships with clients and partners, ensuring high-quality event delivery. The position requires a hands-on person who is willing to engage directly in events and manage all aspects of event logistics, staffing, and budget.

Main Duties

  1. Create an inclusive environment that ensures every member and team member both feels and embodies the Soho House Pillars and Values.
  2. Oversee and understand the commercial viability of your business.
  3. Manage day-to-day operations proactively, solving problems both front and back of house.
  4. Plan, coordinate, and execute private events from initial inquiry to post-event follow-up.
  5. Liaise with clients to understand their needs, providing tailored proposals and creative solutions.
  6. Work closely with internal departments (kitchen, bar, operations, marketing) for seamless event delivery.
  7. Oversee event setup, execution, and breakdown, maintaining high standards of service and guest experience.
  8. Manage event budgets, invoicing, and vendor coordination.
  9. Maintain accurate records and update event management systems.
  10. Provide on-site support during events as the main contact for clients and suppliers.

Performance Standards

  1. Possess detailed knowledge of the menu and drinks at Soho House Barcelona, Little Beach House Barcelona, Pool House, and related concepts.
  2. Have comprehensive knowledge of all facilities, capacities, and possibilities regarding events.
  3. Maintain professional conduct towards guests, members, and employees.
  4. Handle logistics and administrative tasks, including calendar updates, contracts, invoicing, and vendor details.
  5. Independently plan and handle events from request to booking, including inquiries, site visits, and proposals.
  6. Oversee event setup, execution, and breakdown, ensuring client expectations are met.
  7. Liaise with internal teams to align logistics with operational capabilities.
  8. Provide on-site support during events for smooth execution and professional service.
  9. Participate in internal meetings and contribute to improving event procedures.
  10. Build and maintain a commercial database for promotions and offers, aiming to add new contacts weekly.
  11. Assist in preparing and updating event budgets, tracking costs and revenue.
  12. Generate post-event reports including financial summaries and feedback.
  13. Coordinate vendor communication, ensuring proper processing of contracts, invoices, and payments.
  14. Monitor stock levels of event materials and place orders as needed.
  15. Familiarize with major Barcelona events and forge relationships with organizers to secure business.
  16. Handle contracts and agreements with external companies and clients for private hire.
  17. Participate in specific projects as directed by the House Relations Manager.

  2. Ensure consistent adherence to company policies and standards by all staff.
  3. Address any inappropriate behavior from guests or team members, ensuring proper follow-up.

Requirements / Qualifications

  1. 3-5 years’ experience in a busy hospitality venue.
  2. Excellent interpersonal skills and ability to build relationships.
  3. Strong attention to detail.
  4. Confident, charismatic, and well-presented.
  5. Proven sales and upselling skills.
  6. Driven and organized, with ability to manage budgets and client expectations.
  7. Service-oriented, innovative, and friendly.
  8. Fluent in English, Spanish, and Catalan.
