Job Title: JR013463 Artwork Coordinator

Location: Barcelona, Spain. Hybrid

Job Description

The Artwork Coordinator, reporting to the Global Artwork Lead, is responsible for coordinating artwork activities to support product modifications, new product launches, and market expansions in alignment with global strategies. This role ensures efficient management of artwork requests for Galderma products, whether manufactured in-house or by subcontractors. It includes the coordination of the artwork text development like Artwork Checklist or Labelling Reports.

Key Responsibilities

1. Artwork Project Management
   
   • Assess and validate artwork requests, ensuring feasibility for creation or modification.
   • Coordinate the discussion between markets Marketing and Regulatory teams in order to develop aligned text to be copied on the artwork.
   • Clarify requests with stakeholders when necessary.
   • Ensure availability and accuracy of the "Artwork Brief", gathering required inputs from R&D, Plants, MS&T, and other departments.
   • Validate and monitor Product Master Files (PMFs) and artwork data in Veeva Vault.
   • Coordinate artwork activities for global, multi-site projects.
   • Issue Intercompany Orders (ICOs) for plate costs when relevant.
2. Artwork Development & Execution
   
   • Provide detailed artwork briefs to the graphic design team.
   • Ensure realistic deadlines and oversee adherence to timelines.
   • Facilitate effective collaboration between stakeholders and the graphics team.
3. Artwork Coordination in Veeva Vault
   
   • Update and maintain metadata in Veeva Vault.
   • Manage artwork approvals with affiliates, regulatory, and marketing teams, ensuring timely follow-ups.
   • Validate that affiliate requests align with the approved artwork brief, requesting modifications when needed.
   • Proactively manage approval timelines to avoid delays.
4. Artwork Planning & Forecasting
   
   • Collect artwork forecasts from subsidiaries, project managers, plants, and regulatory teams.
   • Assess the graphics team's capacity, identifying potential risks or bottlenecks.
   • Verify forecast accuracy, identify discrepancies, and escalate concerns when necessary.
5. Cross-Functional Collaboration & Process Improvement
   
   • Train stakeholders on artwork processes and systems.
   • Monitor KPIs to track artwork efficiency and performance.
   • Identify and implement process improvements to enhance artwork management.
   • Support ad-hoc tasks and projects as assigned by the department.

Skills & Qualifications

• Education: Bac +2/4 with a focus on artwork or graphic design.
• Experience: Minimum 5 years in the graphics/artwork area.
• Language: Fluent English (written & spoken).
