Role Description / Purpose

Join our team as an Admissions Officer in the British Council School of Madrid and become a key player in shaping the future of our school community. This role offers a dynamic opportunity to engage with prospective candidates and families guiding them through the admissions process while driving enrolments through operational and sales administration. From leading family visits and delivering compelling commercial presentations to managing communication with leads and interested parties every interaction will contribute to fostering a welcoming and informative admissions experience.

The successful candidate will take charge of admissions funnel management secretarial duties event coordination and data management ensuring seamless customer service both in person and over the telephone. Small project management and a range of administrative responsibilities will be central to this position all aimed at maximizing student numbers across all sections of the school. With a strong focus on customer service excellence and data analysis the role embodies a balance of operational efficiency and meaningful engagement with families.

Role Accountabilities

We are looking for a dedicated and proactive Admissions Officer to join our team. This role encompasses a variety of responsibilities common to all school administration positions with a balance between general and postspecific duties that will be reviewed annually. The successful candidate will have the flexibility to adapt to evolving school operational requirements.

The role involves managing relationships and stakeholders by supporting and developing communication strategies for different groups including current and prospective families staff and expupils. Responsibilities include sharing information about school activities facilitating bilingual communication in English and Spanish and optimizing processes to enhance engagement. Additionally the position includes planning and administering both internal and external events such as open days parent evenings ceremonies fairs and performances as well as coordinating projects and initiatives at corporate or school level.

Financial and resource management duties will include purchasing equipment and services handling contract administration budget reporting and liaising with suppliers to ensure the correct provision of services. The administrator will also support service and product delivery by generating reports preparing statistics handling data managing records and maintaining both paper and digital filing systems. Effective use of businessspecific tools and software packages to improve efficiency and service delivery will be essential.

The role extends to managing self and others including providing support to customer service staff and collaborating within the section administration team and across various school departments. The successful candidate will demonstrate strong teamwork skills and contribute to an efficient administrative environment. General duties may include any other responsibilities outlined in the National Private Schools Collective Agreement as assigned by the line manager.

Qualifications & Experience

  • Proven recent experience of dealing with internal and external stakeholders.
  • Frontline client service experience.
  • Experience of working with confidential records / knowledge of GDPR.
  • Experience of managing assessment calls family visits and emailing.
  • 1 year of experience in education management.
  • Customer facing experience in a sales context.
  • Knowledge of the UK National Curriculum and Spanish Curriculum.
  • Extensive knowledge and experience of School processes and tools relating to providers and current / prospective staff / families.
  • Language requirements :

Essential : Proficiency in English equivalent to a Common European Framework of Reference for Languages (CEFR) C2 level and C1 in Spanish or viceversa.

  • Desirable : Proficiency in English and Spanish equivalent to C2 CEFR.
  • Salary : starting annual gross pay 29704 (Based on qualification and experience).
  • Proof of Identity & Right to Work : Candidates are expected to have researched whether they have the right to live and work in Spain. The British Council School of Madrid will not support successful applicants in obtaining a work visa.
  • Contract type : Indefinite.
  • Contracted hours : 37.5 hours per week.
