Thermal Works LLC has an exciting opportunity for an Administrative Coordinator – EU Support, a professional who will be the first point of contact for Thermal Works European customers and staff, coordinating daily operations.

The daily duties will include managing schedules and workflow, handling administrative tasks, and coordinating internal communication across departments.

The ideal candidate will be proficient in English, Spanish, and Catalan at a minimum, a tech-savvy professional with prior experience in office management, client communication, and technical coordination.

Must have excellent verbal and written communication skills and have a knack for problem-solving. Thermal Works values efficiency and strives to maintain smooth operations.

Key Responsibilities
  1. Provide administrative support to company leadership, including scheduling calls, managing calendars, and following up on appointments and meetings.
  2. Act as the main point of contact for EU-based customers, handling inbound calls and coordinating communications.
  3. Maintain organized records and support documentation management across teams.
  4. Assist in preparing internal reports, presentations, and customer-facing materials.
  5. Organize and supervise office activities (recycling, renovations, event planning, etc.).
  6. Coordinate logistics and meeting agendas, including follow-ups and action tracking.
  7. Support interdepartmental communication for projects and operational updates.
  8. Handle general administrative duties, including travel planning and CRM data entry.
  9. Occasional travel to support customer sites and company events.
Skills & Requirements
  • Bachelor's degree in Administration, Economics, or a related field.
  • Minimum of 5+ years' experience in an administrative coordinator role, preferably in data centers.
  • Experience in technical, engineering, data center, or energy sectors.
  • Proficient in Microsoft Office, SharePoint, and Adobe tools.
  • Proficient in English, Spanish, and Catalan.
  • High attention to detail, proactive, and able to multitask with strong interpersonal and organizational skills.
  • Commitment to customer service excellence with international sales exposure.
  • Adaptable to procedural and system changes.
  • Experience supporting customer support or sales operations for international clients.
  • Self-starter who works well independently and across departments.
  • Willingness to travel within Europe and to Thermal Works headquarters in the US for training and meetings.
