Formación

The Administrative Assistant, Global Medical Affairs (GMA) is a key support function role in Galderma, ensuring high-level support to the Global Head of Medical Affairs and general administrative support related to the Global Medical Affairs (GMA) organisation.

The Administrative Assistant in this role will demonstrate agility in multitasking and delivering activities in a timely manner.

Key Responsibilities
  1. Organize and manage business trips, coordinate travel arrangements (flights, hotels, visa, dinners, schedules, etc.), and expense reporting for the Global Head of Medical Affairs.
  2. Manage and support Galderma tools and systems (Concur, COUPA, DocuSign, etc.).
  3. Oversee HCP engagement contracting, create PR/PO, and ensure support with Galderma tools and systems.
  4. Manage complex calendaring and facilitate the integration and prioritization of business activities for the Global Head of Medical Affairs.
  5. For the Swiss-based GMA Leadership Team (LT) members, manage general calendaring and facilitate the integration and prioritization of GMA LT-related activities, including support with Galderma tools and systems.
  6. Oversee HCP engagement for Prescription Medicines teams.
  7. Ensure PR/PO creation for vendors and support with Galderma tools and systems.
  8. Handle communication related to GMA, including support with on-site logistics for quarterly GMA Townhalls in collaboration with Global IT and Zug Office management teams.
Skills & Qualifications
  • Secretarial studies, translation, or Bachelor level education.
  • CAP (Certified Administrative Professional) or PACE (Professional Administrative Certificate of Excellence) certification.
  • Microsoft Office Specialist (MOS) certification.
  • Minimum of 8 years’ experience as an administrative assistant.
  • Experience with Oracle, SAP, Concur, COUPA, DocuSign.
