For one of our main customers, we are looking for an experienced Business Administrator to provide support for two Regional Vice Presidents (Continental Europe and LATAM), Global Enterprise Sales & their respective sales teams.

General Data :

  • Type of contract : Indefinite
  • Hours : 09 : 00h - 18 : 00h (40 hours)

Standard tasks :

  • Expenses.
  • Weekly booking travel.
  • Efficient and fast paced work.
  • Meeting room, catering, dinner, taxis all need to be arranged.
  • Twice a year the full team in Europe comes together – coordinate the venue, shuttles, restaurant, event planning experience is ideal.
  • Financial ability and understanding to open PO’s.
  • Independence and knowing when to ask for help.

Responsibilities :

  • Proactively manage complex calendars with the utmost attention to accuracy, timelines and timezones.
  • Plan and coordinate complex domestic and international travel itineraries.
  • Prepare expense reports in a compliant and timely manner. Ensure expense policy compliance across the team.
  • Work closely with Business Management on aligning Rhythm of the Business processes and operations with the Director’s calendars and ensure tight coordination of commitments.
  • Coordinate scheduling and logistics for All Hands, team meetings, morale events and offsites, including venue selection and all meeting details following procurement guidelines.
  • Manage and maintain team distribution groups (aliases), headcount, space planning.
  • Team hardware and operational budget tracking while enforcing global policy compliance.
  • Provide administrative support to include opening new hire requisitions, onboarding of new employees, equipment procurement and space allocation for new hires.
  • LT & team admin support when required. Partnership with the GLOBAL admin team.
  • Work on special projects as needed.

Skills :

  • This is a high pace work environment, candidate must have initiative, be efficient and willing to learn quickly.
  • Senior level business administrator experience in a fast-paced environment supporting high level executives & global sales teams.
  • Proficiency with Outlook, Word, Excel, PowerPoint and Visio. Ability to use or experience in MS Travel, MS Expense2, Employee Central, HeadTrax, iCIMS, HR Insights Catalog, MS Space, MyOrder, IDWeb, AssetLink, etc.
  • Strong organizational, planning, time management, project management, problem-solving, and anticipatory skills.
  • Be able to execute in relatively ambiguous and complex situations, prioritizing and juggling multiple projects at once, work independently, be self-motivated and action oriented.
  • Able to build effective working relationships inside and outside the group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
  • Exercises sound judgment, tact, diplomacy, and professionalism applied in all transactions, maintenance of utmost confidentiality with sensitive and personal information.
  • Demonstrate a positive “can-do” attitude, maintain confidentiality and be an effective team player.
  • Effective written and oral communication skills.
  • A good sense of humor and ability to connect with people inside and outside the team is a huge plus.
