Our customer is a reputable law firm based in Marbella, offering comprehensive legal services to a diverse clientele. Their team is dedicated to providing exceptional service, and are currently seeking a talented administrative and accounting professional to join them. They are looking for an all-round Administrative/Accounting Assistant to support their operations. This role involves general administrative and accounting duties, client reception, and assistance to their legal team. The ideal candidate will be proficient in Spanish, Dutch, and English, and will thrive in a fast-paced, high-stress environment typical of a legal office.

Key Responsibilities
  • General Administrative Tasks
    • Welcoming and assisting clients in a professional manner.
    • Providing administrative support to the legal team.
    • Managing schedules and appointments.
    • Handling phone calls and emails.
    • Ensuring efficient office operations.
  • Calculate and submit Form 210 to the Tax Agency (Recovery of 3%) — Managing the process of calculating and filing the 210 tax form with the Spanish Tax Agency, particularly related to the recovery of a 3% tax.
  • Monitor the notification inbox — Keeping track of and managing notifications received from official tax and government authorities.
  • Manage requests/notifications from the AEAT (Spanish Tax Agency) — Handling and responding to requirements or notifications from the Spanish Tax Agency (AEAT), ensuring compliance and timely follow-up.
  • Accounting for companies/clients — Managing the bookkeeping and accounting processes for the law firm’s corporate clients.
  • Accounting and taxes — Overseeing the general accounting process and tax filings for clients.
  • Billing for companies — Preparing and managing invoices for the company’s clients.
  • Other weekly accounting tasks for clients — Performing additional accounting tasks, which may be scheduled on a weekly basis for specific clients.
  • Respond to any client inquiries — Handling client questions and providing support to clarify any concerns they may have.
  • Prepare quotes and send them to clients or the lawyer — Creating and sending price quotes for services to clients, or coordinating with the lawyer on this.
  • Tasks Alongside Other Colleagues
    • Requesting company NIF (Tax Identification Numbers) — Assisting in the process of obtaining tax identification numbers (NIF) for companies.
    • Obtaining digital certificates — Handling the process of acquiring digital certificates for the company and clients.
Your profile
  • Trilingual proficiency in Spanish, Dutch, and English.
  • A minimum of 3 years of experience in a legal office environment.
  • Ability to handle the stress and workload typical of a law firm.
