UNDP seeks a Procurement Associate to support efficient, compliant procurement within the Health Procurement Team of the GHSC. You will work with Country Offices, HQ units, and vendors to plan, execute, and monitor procurement activities, including orders, contracts, and logistics documentation.

Organizational context: The Office of Procurement (OP) within UNDP's Bureau for Management Services develops procurement policy, provides corporate and advisory services, and supports global procurement capacity building. It operates globally with teams in New York, Copenhagen, and Cyberjaya, complemented by regional specialists. The Health Procurement Team (HPT) is a key part of the Global Health Supply Centre (GHSC), supporting health programs by ensuring timely supply of quality-assured health products and managing procurement risks.
Job purpose: The Procurement Associate supports the efficient and transparent execution of procurement services under the guidance of the Procurement Analyst. This role focuses on a client-centered, results-oriented approach within the Health Procurement Team (HPT) of the Global Health Supply Centre (GHSC). The Associate collaborates with colleagues, Country Offices, and HQ units to manage procurement and logistics issues, resolve operational matters, and elevate complex cases. Key contributions include ensuring compliance with UNDP rules, supporting procurement planning, organizing and executing procurement processes, managing purchase orders and contracts, and assisting with logistics coordination, including shipment follow-up and documentation.
Responsibilities: The Procurement Associate is responsible for supporting the execution of procurement services in compliance with UN/UNDP regulations and policies. This includes assisting Country Offices with procurement plans, organizing and supporting procurement processes (RFQs, ITBs, RFPs), handling bids and proposals, and facilitating evaluation processes. The role involves preparing purchase orders and contracts, managing vendor information, and addressing transactional issues. Additionally, the Associate supports logistics services by coordinating freight forwarding, tracking shipments, managing documentation, and assisting with customs clearance processes. Knowledge sharing on health commodity procurement and maintaining procurement tools and resources are also key duties.
Education: Secondary education is required. A university degree in a relevant field is desirable. CIPS Level 2 certification is highly desirable and must be obtained within one year of recruitment if not already held.
Work experience: A minimum of six years of progressive experience in procurement, contracting, supply chain, or logistics is required with secondary education. This requirement is reduced to three years with a bachelor's degree. Experience supporting procurement processes, using digital business systems, and proficiency in standard office software are essential.
Skills: Proficiency in English is required. Experience supporting procurement, contracting, supply chain, or logistics processes. Experience with digital business systems, web-based platforms, or ERP workflows. Proficiency in standard office software (word processing, spreadsheets). Experience in health procurement, Global Fund policies, ERP systems (Oracle Cloud, Quantum, SAP), international organizations, developing country programs, and international freight/shipping documentation are desirable.
