Job summary

UNDP is seeking a Procurement Associate to support the execution of transparent and efficient procurement services across UNDP Country Offices and HQ, aligning with UNDP policies and internal controls.

Under the guidance of a Procurement Analyst, you will coordinate procurement plans, RFQs, ITBs and RFPs, assist with vendor management, and help ensure timely delivery of health commodities through the GHSC partnership.

Qualifications

• Experience in procurement, contracting, supply-chain or logistics processes is required.
• Experience in using digital business systems, web-based management platforms or ERP-supported workflows is required.
• Proficiency in standard office software, including word processing and spreadsheets, is required.

Responsibilities

• Assists Country Offices in preparing procurement plans.
• Organizes and supports procurement processes, including RFQs, ITBs and RFPs; receipt and handling of quotations, bids and proposals; facilitation of evaluation processes; preparation of evaluation documentation and minutes; support to contract clarification or negotiation.
• Liaises with buyers, the Quality Assurance team and suppliers to collect technical files and coordinate clarifications.
• Prepares purchase orders and contracts in and outside Quantum, including recurring PO for services; supports vendor creation and maintenance in Quantum.
• Applies established internal controls to support accurate preparation and dispatch of purchase orders and correct budget-check errors.
• Prepares procurement reports and maintains trackers and records.
• Supports transition of designated operational procurement activities by documenting workflows and organizing records.
