Workplace Specialist, Berlin – Contract Position (Freelancer, Contractor, self employed)

Initial 3 Month contract, Can be 5 days a week or Part-Time 3 days per week, or shorter hours if required. Market Rates (€250–350 per day)

A leading tech company is seeking a Workplace Specialist to oversee day-to-day operations at its Berlin office. Reporting to the Real Estate & Workplace Manager, you will play a critical role in delivering a welcoming, efficient, and service-oriented workplace environment. This is a part-time freelance position (Tues–Thurs), ideal for someone who thrives in dynamic environments and has a strong background in facilities and hospitality.

Key Responsibilities
  • Deliver outstanding customer service and ensure the workplace reflects the company’s culture.
  • Coordinate internal events, including training sessions, team-building days, and social activities.
  • Manage front-of-house operations, including visitor access, post room activities, food and beverage services, and office supplies.
  • Collaborate with HR, IT, Finance, and other teams to ensure smooth day-to-day operations.
  • Support workplace standards across all operational activities to maintain a high-quality, consistent office experience.
  • Manage relationships with external vendors and internal stakeholders, ensuring top-tier service delivery.
  • Contribute to regional workplace projects and support other EMEA office locations when required.
  • Help document and implement regular maintenance and workplace improvement processes.
Requirements
  • 2+ years of experience in facilities or hospitality with a focus on workplace operations.
  • Fluency in both German and English is essential.
  • Excellent organizational and multitasking skills.
  • Strong communication abilities, including writing office-wide communications.
  • A customer-first mindset and a passion for creating great workplace experiences.
  • Experience managing budgets and working with external suppliers.
  • This is a freelance / contractor role, so you must be self-employed or freelance equivalent). If needed, support is available to help set up your contractor status.
