Job Title: Training Systems Specialist

The Training Systems Specialist serves as the primary point of contact for training and enablement system administration needs and requests. This role focuses on the operational support, configuration, and day-to-day management of Learning Management Systems (LMS) and Learning Experience Platforms (LXP), ensuring that training processes run smoothly and efficiently. The specialist collaborates closely with training and development stakeholders, including trainers, managers, field personnel, and other internal teams, to process training requests, maintain data accuracy, and provide exceptional learner support. This position emphasizes technology and system administration rather than instructional design or content creation, and plays a key role in promoting best practices, driving process improvements, and supporting the overall training and development strategy.

Responsibilities
  • Serve as a central point of contact for training and enablement system administrative needs and requests across the organization.
  • Process enablement and technology administration requests with a strong focus on LMS and LXP platforms.
  • Manage user and customer requests, including account setup, access management, and profile updates in LMS and LXP systems.
  • Send personalized learner communications and manage CRM, LMS, and LXP source system data to ensure accuracy and completeness.
  • Process enrollment requests in LMS and LXP platforms, ensuring learners are correctly registered for courses and programs.
  • Create and manage training assignments in LMS and LXP platforms as requested by training stakeholders.
  • Provide ongoing learner support, including troubleshooting technical and access issues, following up on inquiries, and resolving problems in a timely manner.
  • Monitor learner progress, generate reports, and provide visibility to internal teams on training completion and performance.
  • Serve as a point of contact for learning programs and engage with trainers, developers, managers, and field personnel to support program execution.
  • Provide information, data, and analysis as requested, ensuring a high level of customer service to learners and stakeholders.
  • Promote best practice approaches aligned with training and development goals and priorities, and encourage adherence to established processes.
  • Understand the business goals for training and development as well as the objectives of the assigned business area, and align system support accordingly.
  • Maintain and continuously improve quality systems and processes related to LMS and LXP administration, contributing to the achievement of quality objectives through daily actions.
  • Exercise judgment in evaluating methods and determining criteria for obtaining solutions to diverse and sometimes complex system-related issues.
  • Identify, drive, and participate in process improvement activities to enhance training operations and system efficiency.
  • Collaborate with colleagues and stakeholders to obtain guidance on operational support standards, issue resolution, and escalation when required.
  • Communicate process improvement opportunities and system-related insights effectively to support the broader training and development strategy.
  • Participate in special projects related to training systems and technology as requested, contributing technical and operational expertise.
  • Ensure compliance with established training processes, data integrity standards, and system governance requirements.
Essential Skills
  • Bachelor’s degree, or an associate degree with 3 years of related work experience, or equivalent total work experience.
  • Thorough understanding of business processes related to training and learning operations.
  • Experience with Learning Management System (LMS) administration, including configuration, user management, and course management.
  • Hands-on experience with Cornerstone OnDemand and SAP SuccessFactors Learning is strongly preferred.
  • Strong system administration skills with a focus on LMS and LXP platform support and management.
  • Experience with reporting and user management within LMS and LXP environments.
  • Excellent communication skills, with the ability to clearly convey information to learners and stakeholders.
  • Strong stakeholder management capabilities, including collaboration with trainers, managers, and field personnel.
  • Outstanding customer service orientation and interpersonal skills to support diverse user groups.
  • Excellent problem-solving and analytical skills to independently resolve a variety of routine and complex system issues.
  • Ability to work effectively in a fast-paced and changing environment, managing multiple priorities while maintaining composure and flexibility.
  • Ability to identify, drive, and participate in implementing process improvement initiatives related to training systems.
  • High level of comfort working with technology and systems such as LMS, LXP, CRM, and productivity tools.
Additional Skills & Qualifications
  • Bachelor’s degree or equivalent experience is preferred.
  • Proficiency in SuccessFactors, Cornerstone, or other enterprise Learning Management Systems.
  • Proficiency in Microsoft tools and/or Google Suite for documentation, communication, and data analysis.
  • Experience with other enterprise LMS platforms such as Saba, Workday Learning, Docebo, Moodle, Absorb, or similar LMS solutions.
  • Experience supporting Learning Experience Platforms (LXP) is a plus.
  • Experience working within regulated environments is beneficial.
  • Industry experience in biotech or pharmaceutical is preferred, though candidates from other industries with strong LMS administration experience are highly encouraged to apply.
  • Strong consulting skills, including the ability to advise stakeholders on training system best practices and process optimization.
  • Ability to provide clear, data-driven insights and analysis to support training and development decision-making.
Work Environment

This role operates on a first-shift schedule, typically from 8:00 a.m. to 5:00 p.m. EST, Monday through Friday. The position follows a hybrid work model, with an expectation of working on-site three days per week and remotely two days per week after the initial training period. The environment is fast-paced and dynamic, with frequent collaboration across training, development, and business teams. Work is primarily performed using enterprise Learning Management Systems and Learning Experience Platforms, along with CRM tools, Microsoft Office or Google Suite, and other digital systems. The setting supports a professional atmosphere that emphasizes quality, continuous improvement, and effective communication, with a focus on enabling efficient and compliant training operations.

This is a Contract position based out of Indianapolis, IN.

Pay and Benefits

The pay range for this position is $37.00 - $37.00/hr.
