Senior Project Manager / Lead PMO

Supporting complex projects through end-to-end PMO coordination, project governance, reporting, controlling, stakeholder communication, and administrative management. Responsible for ensuring efficient project execution, maintaining documentation and project tools, coordinating resources, and supporting financial, contractual, and operational project activities.

Key Responsibilities

• Act as the central point of contact for organizational and administrative project activities.
• Proactively delegate tasks within the PMO team and prioritize ongoing activities.
• Support financial, project, and contract controlling activities, including forecasting and effort tracking.
• Maintain project data, open action lists, and ensure documentation completeness.
• Create, update, align, and manage project documents such as risks, changes, reports, and meeting records.
• Administer and maintain project repositories and collaboration platforms.
• Prepare project presentations, status reports, and communication materials.
• Coordinate, organize, and follow up on project meetings and governance sessions.
• Support subcontractor-related administrative activities and performance documentation.
• Independently manage project tasks and work packages, including coordination of required resources.

Required Qualifications

• Strong knowledge of common project management standards, ideally supported by a recognized certification comparable to IPMA Level C.
• Practical experience with collaboration and project management tools such as SharePoint, Jira, Confluence, and MS Project.
• Very good MS Office skills, especially advanced Excel knowledge including VBA and Pivot functions.
• German language proficiency at C1 level and English language proficiency at B1 level according to CEFR.

Professional Experience

• At least 5 years of experience as a project team member in reporting, change management, risk management, project planning, and deliverables/dependency management.
• At least 3 years of experience as a Lead PMO.
• At least 5 years of experience in preparing, organizing, conducting, and documenting project meetings and steering committees.
• At least 3 years of experience in structuring and managing work packages.
