IVY is seeking a Senior Advisor Operations and Organisational Development to guide the nonprofit through its growth from start-up to a scalable institution. You will partner with the CEO/COO, shape governance systems, and design HR and program-wide operations to support rapid geographic expansion.

Remote role with flexible timing across Latin America, Africa, and Asia. Requires 7–10 years of leadership in nonprofit operations, DEI integration, and donor management.

Qualifikationen

Position Overview

Position Title: Senior Advisor Operations and Organisational Development

Classification: Strategic advisor, Part‑time

Location: Remote/Flexible within LAC time zones

Reporting Structure: Reports directly to the Chief Operations Officer (COO) and works closely in tandem with the Chief Executive Officer (CEO)

Direct Reports: None (Acts as a senior contributor, facilitator, and advisor across central and country operations)

Salary Range: $30,000 - 40,000 per year, commensurate with experience

About Asociación Ivy: IVY (Fundación IVY) is an impact‑driven non‑profit advancing climate action, energy transition policies, and sustainable development. Operating as a matrix organization, a core executive team provides administrative and strategic guidance alongside technical and country managers. IVY is at a pivotal growth junction following a major award from Climate Breakthrough. Currently operating across 4 countries in Latin America, IVY is preparing to scale its operational footprint and global policy influence across Latin America and into Africa and Asia over the next three years.

Position Purpose: The Strategic Operations Expert serves as a high‑level operational all‑rounder hired to work side‑by‑side with IVY's founding executive leaders, the CEO and COO, to successfully guide the organization out of its early‑stage startup phase and into a mature, professionalised, and fully scalable institution. Acting as an operational architect and strategic thought partner, the post holder will identify organizational bottlenecks, diagnose operational blind spots, and build the core systems, policies, HR frameworks, and governance mechanisms required for sustainable growth. This position bridges high‑level executive strategy and practical system‑building, ensuring that IVY's rapid programmatic and geographical expansion is anchored by resilient non‑profit operations. This role is part of the Organization Builder Program, designed to help climate civil society organizations (CSOs) scale their impact by building essential operational capacity. The program directly solves operational bottlenecks faced by many climate CSO leaders by recruiting experienced, strategic operations experts into CSOs to build the systems, processes, and governance necessary for sustainable growth. To support your transition into the climate sector, and in addition to the role, the program provides structured climate education, mentorship and coaching, and a strong peer network. Ultimately, this role serves as your launchpad for a long‑term career in the climate sector.

Key Accountabilities
1. Executive Support, Organizational Professionalization & Bottleneck Unblocking
  • Lead the strategic transition of IVY from an informal, manual system startup into a professionalized civil society organization equipped with scalable systems.
  • Serve as a close operational partner to the COO, analyzing internal management workflows to streamline daily operations, and empower the organization to reach its full potential.
  • Assist executive leadership and the Board by establishing tracking metrics for organizational progress and health, such as Objectives and Key Results.
  • Conduct ongoing internal organizational capacity and health assessments to surface operational blind spots and implement tailored improvement strategies.
2. Regional & International Operations Expansion
  • Design administrative and operational expansion frameworks that support IVY's strategic growth through and beyond Latin America into target regions across Africa and Asia.
  • Optimize IVY's matrix structure, establishing clear operational interfaces and SOPs between the central executive leadership and decentralized country managers.
  • Align operational infrastructure with international standards expected by global funders, blended finance networks, and climate energy transition partners.
3. People Operations, HR Systems, & Staff Support
  • Standardize and update job descriptions, establishing clear role architecture across central and country-level teams.
  • Design fair, benchmarked salary bands, benefit frameworks, and a bi‑annual performance appraisal evaluation system.
  • Provide continuous staff training, mentorship, and change management support to ensure staff effectively adopt new operational tools and organizational standards.
  • Embed Diversity, Equity, and Inclusion (DEI) standards into internal HR policies, recruitment practices, and leadership development frameworks.
4. Grant, Donor, and Programme Fund Administration Support
  • Partner with the new Director of Administration & Finance to strengthen non-profit grant administration, segregated fund accounting, and donor reporting.
  • Ensure operational and administrative compliance with multi-country non-profit tax laws, legal regulations, and donor-specific obligations (e.g., Climate Breakthrough).
  • Translate strategic program goals into real‑time operational budgeting pipelines, financial forecasting, and variance tracking.
Required Qualifications and Experience
  • Education & Certification : Bachelor's degree in Non-Profit Management, Business Administration (MBA), Public Administration (MPA), Organizational Development, or Operations Management. Master's degree preferred.
  • Non‑Profit Operational Leadership : Minimum 7-10 years of progressive leadership experience in operations, non-profit management, or organizational development. Deep familiarity with non-profit organizational life cycles, especially transitioning CSOs from startup to growth stage.
  • Compliance & Risk Management : Track record of managing institutional risk, data protection protocols, and regulatory compliance frameworks across non-profit legal jurisdictions and donor contracts.
  • Grant & Donor Administration : Demonstrated experience supporting financial and grant administration for major philanthropic funders and international climate grant makers.
  • Regional & Cross-Border Capacity : Multi-country management experience; background supporting decentralized teams across Latin America, Asia, or Africa, within matrix organizations.
  • Digital & Systems Experience : Experience replacing legacy manual/spreadsheet operations with integrated digital and cloud-based systems.
