About Razom We Stand
Razom We Stand ("Razom" means "Together" in Ukrainian) is an international climate campaign organization dedicated to cutting the financial flows to fossil fuels that wage wars, starting with Russia's war in Ukraine. Operating globally with a sharp focus on European energy policies, high-level diplomacy, and public campaigning, the organization works to accelerate the clean energy transition and dismantle the economic foundation of autocratic fossil fuelled aggression. Razom We Stand is currently scaling from its agile NGO startup phase into a fully established international legal entity based in the Netherlands.
Position Purpose
The Chief of Staff acts as a core strategic partner to the Founder, translating the high-level vision into actionable work plans, setting operational frameworks, and serving as the primary connective layer across departments. As the organization scales, this role will lead it. The Chief of Staff will line-manage senior members of staff and coach these leaders to execute strategy effectively, with the goal to build collaboration across workstreams. They will also oversee international budget integration and establish robust further needed team capabilities. This role is part of the Organization Builder Program, designed to help climate civil society organizations (CSOs) scale their impact by building essential operational capacity. The program directly solves operational bottlenecks faced by many climate CSO leaders by recruiting experienced, strategic operations experts into CSOs to build the systems, processes, and governance necessary for sustainable growth. To support your transition into the climate sector, and in addition to the role, the program provides structured climate education, mentorship and coaching, and a strong peer network. Ultimately, this role serves as your launchpad for a long-term career in the climate sector.
Key Accountabilities
1. Strategic Operations and Organizational Scaling
  • Operationalize strategy, setting Objectives and Key Results (OKRs) and Key Performance Indicators (KPIs) at both institutional and individual senior management levels.
  • Work with each Head to cascade those into team-level and individual objectives. The Chief of Staff sets the cadence and holds the line on accountability; each Head owns how their team delivers against it.
  • Translate leadership priorities into clear, measurable work plans across distributed international teams (Brussels, Kyiv, London).
  • Serve as the connective layer between Heads of Operations, Programs, Communications, and R&D to break down working silos and drive cross-departmental collaboration.
  • Track progress against OKRs at the institutional level and flag material slippage to the Founder early, with options rather than just problems.
2. Governance and Strategic Projects
  • Systematically supports ED collaboration and communication with the Board, works with the Board and the Head of Operations to ensure the ED and Board have clear visibility into organizational health, risk, finance and progress against strategy, the Chief of Staff synthesizes and presents; the Head of Operations remains the operational and compliance owner of the underlying legal, financial, and HR systems.
  • Lead discrete, time-bound strategic projects that cut across departments and don't have a natural functional home, for example, scoping a new program area, structuring a major partnership, or running a strategic review in coordination with the relevant Head(s).
  • Is able to support discussions around different types of organizational structures for Razom We Stand and their respective merits as the organization evolves. The ideal candidate will have experience in leading change management initiatives at an organization-wide level.
  • Support the Head of Operations during major organizational transitions (such as the shift from UK fiscal sponsorship to Dutch legal establishment) by keeping the ED and Board aligned on timeline and strategic implications the transition itself, including legal, financial, and compliance execution, is led by the Head of Operations.
3. Executive Leadership Support
  • Translating ED's strategic vision into executable plans and holding the Heads accountable for delivering in their own domains.
  • Line-manage the Senior Management Team, conducting regular performance evaluations and role clarity assessments.
  • Provide active coaching and mentorship to senior leaders to strengthen leadership capacity and operational autonomy.
  • Prepare the ED for high-level funder meetings, board convenings, and diplomatic engagements, briefing materials, talking points, and follow-up tracking.
  • Manage the ED's strategic calendar and priority triage, ensuring time is protected for the highest-leverage external work.
  • Act as a trusted sounding board and strategic advisor on sensitive organizational, board, and donor matters.
  • Represent the ED in internal forums when delegated, ensuring continuity of decision-making in the ED's absence.
4. Integrated Financial Stewardship & Grant Oversight
  • Consolidate disparate international grant streams, Ukrainian accounts, and partner disbursements into a unified global financial framework.
  • Protect and prioritize the ED's fundraising time, triaging inbound funder requests and structuring the calendar so donor-facing hours go to the highest-leverage conversations.
  • Hold fundraising targets inside the institutional OKR cadence, tracking pipeline movement and flagging slippage early without owning cultivation or prospecting activity itself.
  • Identify and clear cross-departmental blockers that delay proposals going out, so submissions aren't held up waiting on internal coordination.
  • Ensure the fundraising pipeline is sized to what the strategic plan actually requires, flagging gaps between fundraising targets and strategic funding needs early enough to act on them.
  • Own the internal handoff from \"grant won\" to \"grant operationalized\", ensuring a clean transition from cultivation into Operations' compliance, financial tracking, and delivery systems, with clear ownership at each step.
Required Qualifications and Experience
1.Education & Certification : Master's degree in Business Administration, PPE, Non-Profit Management, International Relations, Law, or a related field preferred (substantial practical leadership experience prioritized). Demonstrated ability to translate ambiguous, high-level vision into structured plans, OKRs, and accountability systems.2.Non-Profit Leadership : 7+ years of senior operational or organizational leadership experience within fast-scaling non-profit, campaign, startup, or social-impact environments, ideally including experience as a Chief of Staff, senior strategy lead, or equivalent right-hand-to-a-founder role.3.Compliance & Governance : Proven track record navigating NGO startup/growth scaling, including setup or management of non-profit legal frameworks and regranting organisations. Coalitions and networks (Dutch/EU non-profit legal context strongly preferred). Strong judgment and discretion in handling sensitive donor, board, and geopolitical information.4.Grant & Donor Administration : Demonstrated success overseeing complex donor compliance, sub-granting/re-granting systems, and multi-currency international budgets.5.People Management & Coaching : Extensive experience managing and coaching matrixed senior management teams, setting OKRs/KPIs, and executive coaching.6.Digital & Systems Experience : Experience establishing internal operations systems, remote management platforms, and managing international EOR/employment structures.
Personal Characteristics and Competencies
  • Strategic Partnering: High capacity to synthesize visionary leadership into structured execution and accountable workflows.
  • Cross-Cultural Intelligence: Aptitude for working collaboratively across Ukrainian, UK, and EU cultural and geopolitical contexts.
  • Sector Nuance: General familiarity with or strong aptitude to rapidly acquire literacy in climate policy, fossil fuel finance, and European geopolitics.
  • Integrity & Diplomacy: Exceptional judgment in managing sensitive geopolitical contexts, confidential donor details, and board dynamics.
  • Language Proficiency: Fluency in professional working English is required; Ukrainian or other European languages are an asset.
